Purchase Part Global Changes

Reference Contents > Global Changes > Purchase Part Global Changes

This is a very powerful process that can completely change the business characteristic of the data and must be used with care.

Purchase part performance global update provides for an automatic method of re-calculating purchase part performance indicators. This procedure can be applied to any range of parts.

You have three options for the selection of part records that changes will be applied to:

You can use the selection ranges to directly select parts that match the criteria you enter. Those parts will then be subject to the update, if there are purchase part records for them.

You can use the selection ranges to select parts that match the criteria you enter and present them as a list for you to individually select those parts you wish to apply a purchase part change to.

You can transfer the contents of the ScratchPad and individually select those parts you wish to apply the purchase part change to.

The user has two options represented by the two checkbox items in the Performance Options pane:

Recalculate performance indicators

Recalculate performance indicators will use recorded purchase history to calculate the four performance indicators. Purchase part items that have no history are unaffected by this processing.

The File — System Manager — System Preferences settings are shown at the bottom of the window and will be applied to the process. If the preference flags are NOT set to calculate the variable on the last delivery, the average of all history will be used. The algorithms applied are as follows:

Attribute

Algorithm

Delivery Speed Indicator 0-100

The supplier with the minimum actual lead days is rated at 100. Other suppliers are rated at (100 * minimum lead days / actual for this supplier). E.g. a 50 rating will imply that this supplier takes twice the time to deliver as the fastest.

Delivery Reliability Indicator 0-100

All suppliers are rated at (100 * (1 – (excess actual days over ordered days) ) / ordered days). If the actual days does not exceed ordered days the rating will be 100. E.g. a delivery 5 days late when the supplier promised the item in 10 days, the indicator will be calculated as 50.

Price indicator 0-100

The supplier with the minimum price is rated 100. Others are rated at (100 * minimum price / actual price for this supplier). E.g. if the best price is 2.00, a supplier costing 2.30 will be given a rating of 87.

Quality indicator 0-100

All suppliers are rated using the proportion of returned goods. It is calculated at (100 * (1 – (quantity of returns / delivered quantity))). E.g. for a delivered quantity of 1000 with 50 returned, the rating will be 95.Note that there is a system preferences setting that specifically prevents quality indicator re-calculation as some users may seek to use manual systems of quality assessment.

Resetting Part Primary Supplier

Resetting the part Primary Supplier calculates the best performer for a part using the factored indicators set in the “System Manager” “Company Details” section.

Factors are used to load the four Purchase parts performance indicators to produce the overall performance of the supplier for a part. The four factors add up to 100. If all four are given the value 25, then each indicator will be equally weighted. If one is given 100 and the others 0, the overall rating for the supplier will be solely based on that indicator.

The part’s Primary Supplier will be set to the supplier with the highest overall rating. If there are more than one with the same highest rating, the first alphanumeric supplier code will be granted primary supplier status.

WARNING: Note that if recalculating performance indicators is processed at the same time, only suppliers with history will be considered. If independently run, all supplier part entries will be used in the selection.

You have three options for the selection of part records that changes will be applied to:

You can use the selection ranges to directly select parts that match the criteria you enter. Those parts will then be subject to the changes you have applied.

You can transfer selected lines in the Parts ScratchPad and it is these that the changes are applied to. You can also drag and drop the lines onto the Global Change button.

To effect a lead time change:

1. Choose the basis for the lead time calculation from the options provided in the lower half of the window. These option are in two groups: Those that apply to manufactured items (i.e. those that are type ‘M’, have Process Routes and/or works history records), or those that apply to purchased parts (i.e. have purchase history records). If options are chosen from both groups and a part has a process route and/or works history AND purchase history, the purchase history calculations will take precedence.

If a part has no data relevant to the options selected no change will be made to the parts lead time.

For manufactured items, you can select either to set lead time by the process route times (calculated to account for work centre available hours) or to calculate lead time based on work history records based on either the maximum, average or last encountered history record for the part.

NOTE: When work orders are completed in more than one batch, only the last stores receipt is considered.

With either option, you may apply an additional number of days by entering a value in the field provided.

For purchased items you can only calculate lead time based on purchase history records based on either the maximum, average or last encountered history record for the part. You may apply an additional number of days by entering a value in the field provided.

NOTE: When purchase orders are received in more than one batch, only the last stores receipt is considered.

2. Enter one or more selection ranges, which are additive, for the parts you wish to apply the change to.

3. Click on the Global Change button and answer the confirmation messages, OR

4. Open the Parts ScratchPad and populate it, select the required part lines, select the Transfer menu function or drag and drop lines onto the Global Changes button.

The Print Analysis button enables you to gain a full comparative review of part lead times as assessed from Process Route times, purchase and works history records. No calculation options apply for this analysis and no part lead times are changed on the file.

Material Costing Method

There are four optional methods of Material Costing (the costing of items purchased from suppliers). The option which will be used is chosen in the “System Manager” “Company Details”.

Receiving overhead cost

There are two default receiving overhead rates set in the “System Manager” “Company Details” function. A Goods (PO) receiving overhead (burden) rate applies to purchase items including outwork assemblies. A Work Order receiving (completion) overhead rate applies to parts costed on the basis that they are manufactured through a WO. If the part has a non-zero individual rate (PTMROVR), then this will apply rather than this default rate. If PTMPOVR is negative, the overhead rate will be zero. In the case of a purchased part, the Receiving Overhead Cost is calculated from the Goods received overhead rate times the prime (material) cost. In the case of a manufactured item, it is calculated from the WO received overhead rate times the “This-level cost” of the assembly (it is not applied to rolled up sub-assembly costs). The receiving overhead is rolled up into the material cost element of any higher assemblies. Thus where there is a recorded Receiving Overhead Cost it only relates to the immediate material and, if any, processing costs. Any lower-level receiving overhead costs will be incorporated with the accumulated material cost element.

Minimum Order quantity

The Minimum Order Quantity is used to calculate the component of Labour and Overhead cost attributable to process route operation Setup Time. If the Minimum Order Quantity is less than, or equal to, 1, the Setup Time cost is applied in full to the part unit cost. Inappropriate Minimum Order Quantities will have stock value implications.

Yield

The Part yield in lost units per batch rather than percent rate system preference varies the units in which the part yield value is seen by the costing system. If this preference is set the yield rate for costing purposes is the Re-order Quantity minus the Yield Loss Units divided by the Re-order Quantity expressed as a percent. This means that the effective yield rate varies with part re-order quantity.

Yield rate is a value in percent to 2 places of decimal that can optionally have an effect on costing and MRP recommended demand. It is the percentage of an ordered quantity that will be, on average, received into stock. The normal rate is 100.00% and with this rate it has no effect on costing or planning.

For a non-normal yield to have an effect on costing the Part yield is used when calculating costs System Preference must be set.

For a purchased part, the cost of the part will be calculated as the actual cost divided by the yield rate. This has the effect of uplifting the cost and can be seen as taking into account losses in the transport, quality inspection or other receiving processes.

For parts with a BoM that are manufactured or outwork assemblies, the yield will similarly uplift the cost in assuming that only the yield rate of finished part will be subsequent useful inventory, even though the full kit quantity and process cost was consumed.

Roll-over current to standard costs

This process simply copies the current cost elements into the standard cost elements.

It is in general used to fix the standard costs to the current costs at a particular point of time, typically year end. Standard costs can then be used as a base value, against which cost performance throughout the year can be judged.

Messages are listed for the following conditions:

Parts which have a zero total standard cost.

Parts where there is more than a 5% change in standard cost.

Adjust selling price by %

This process enables you to increase or decrease part Selling Prices by a fixed proportion of that currently existing, rounded to two places of decimal. It also applies to any currency prices. All type ‘N’ (Non-stock) parts are ignored by this process.

Messages are listed for the following conditions:

Parts that have a zero Selling Price.

Apply sales mark-up or margin to cost

This process makes use of the Mark-up or Gross Margin set for each part and recalculates the Selling Price from its costs. You are offered the option of using Standard Costs or Current Costs.

All type ‘N’ (Non-stock) parts are ignored by this process. You have a “System Manager” “System Preferences” choice of Mark-up or Gross Margin. For Mark-up, the routine makes the Selling Price = Total Cost * (100 + Auto price mark-up) / 100. For Gross Margin, the routine makes the Selling Price = Total Cost * 100 divided by (100 – Gross Margin) where Gross margin is forced to be greater than 99.0%. If there was an existing local currency Selling Price, any currency prices will be adjusted to match the new selling price with the same notional exchange rate as applied before.

Messages are listed for the following conditions:

Parts that had a zero selling price.

Parts that have a zero sales mark-up.
