<h2 class="wp-block-heading">OVERVIEW&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;</h2>



<p>This window enables you to select the customer to which the Quotation or SO will apply.</p>



<p>You can use Keyword Search or the Customer ScratchPad.</p>



<p><strong>TIP</strong>: You can apply the <strong>optSOShowCusComment</strong> user option. This provides a pop-up window that will display the selected customer&#8217;s comments text. If set to 1, all customer comments are displayed. If set to START,END the program will search for a text contained within the START and END markers (which can be any alphanumeric strings. If only ,END is specified, all text up to the END marker is displayed, if only START is specified, all test from the START marker is displayed. Being a user-level option, multiple aide-memoires can be provided for different users or groups.</p>

<p>The OK button updates the data you have entered, or confirms the selection and/or processes the function you have called.</p>

<h4>Operation</h4>
<p>Enter data in the data entry boxes to restrict the range of customers. Customers must meet all criteria entered to be selected. If the left and/or right data entry boxes are left blank for a particular criteria, customers will be selected between the first and/or last otherwise qualifying customer record.  Data entry boxes can be populated by finding a single item using <strong>Keyword Search</strong>, drag and drop from the <a href="../scratch/wscratchcustomers">Customers ScratchPad</a> or by double-clicking a list item from the <a href="../general/wkwdpopup">Keyword Result</a> window.</p>
<p>Data records can be obtained using one of the following methods or a combination of them (see Tip below):</p>
<ol>
<li>Enter values into the selection ranges and use the <b>Standard Search</b>. The <a href="../general/msearchsub">context menu</a> provides a Clear Selection function.</li>
<li>Define or use a <b>Custom Search</b>.</li>
<li>Create an <b>Ad Hoc Search Calculation</b> using the <a href="../general/msearchsub">context menu</a> function.</li>
<li><b>Drag-and-drop</b> one or more lines from the Customer ScratchPad onto the general window area.</li>
<li>Use the <b>ScratchPad Transfer Selected</b> function</li>
<li>Use the <b>KeyWord Search Transfer Selected</b> function</li>
</ol>

<p>When you attempt to delete a customer and it is referenced by some other data record such as a Sales Order, you will be prevented from deleting it immediately and will be given the opportunity of transferring all related records to an alternate customer.</p>
<p>If you cancel, you will be provided with an explanatory message as to why the deletion was not possible.</p>
<p><img loading="lazy" decoding="async" src="https://caliach.com/wp-content/uploads/2022/12/warning40-8.jpg" width="24" height="24" alt="Warning"/><strong> WARNING:</strong> Great care should be taken of this feature. Confirming a transfer will move all related records for the customer into the selected transfer customer. Records transferred in this way will appear to have always belonged to the transfer customer. You will not be able to subsequently identify them from records previously belonging to the transfer customer. The system does however stamp a note onto the comments of the transfer customer.</p>
<p>If a Customer is referenced by history, and you want to prevent its use for Quotations and Sales Orders you can do this by setting the <b>Do not use</b> control on the customer record.</p>

If set to 0 (zero), the default payment days in the <a href="../system/wmcdedit">Company Details Maintenance</a> window will be applied to Sales Orders.</p>

This has special significance. If you set it to -1 the system will force the due date on an invoice to be the same as the invoice date itself. If you set it less than -1, say to -NN, the payment date will be set to NN-1 days from the invoice date. These rules operate in days only and are regardless of the default payment policy (from Invoice, Month-End or Period-End) or Days/Months set in the <a href="../system/wmcdedit">Company Details Maintenance</a> window. This allows you to override the normal system&#8217;s operation of payment dates for special customer payment term conditions. For instance it may be that your normal terms of business are &#8216;One Month from End of Month&#8217; but for some special customers you want payment on invoice and others a number of days from invoice.</p>

<p>Customer master data is used directly in three functional areas of Caliach Vision: Sales Orders, Jobs and Accounts Receivable, when you have the Ledgers licensed, Additionally, you may use Customers for maintaining a marketing mailing list. Customer data can be entered and maintained by selecting any function on the <b>Customers</b> hierarchical menu from the main <a href="../general/mmasters">Masters Menu</a>.</p>
<p>The customer menu provides functional commands for maintenance of information relating to customers . Customer data is used in Sales Order and dispatch processing and Accounts Receivable sections of the program.</p>

<p>This subwindow provides for maintenance of Addresses and is always associated with the <a href="../customers/wadrmaintsub">Address Maintenance Subwindow</a> on a master record maintenance window.</p>
<p>Windows that use this subwindow are:</p>

<p>For general information on the Address and Contact system, see the <a href="../customers/wadrmaintsub">Address Maintenance Subwindow</a> help.</p>
<p>Customers, Suppliers and Marketing  addresses can have any number of contacts associated with them. The contact maintenance subwindow provides for viewing and editing a single contact record after selecting an address and then a contact from the list. If there are 5 or less addresses, select an address from the tab strip. If there are 6 or more addresses a dropdown list is provided for address selection.</p>
<p>To manage contact data use the three button functions or the context menu. With these you can <img loading="lazy" decoding="async" src="https://caliach.com/wp-content/uploads/2022/12/17000-1.jpg" width="16" height="16" alt="Add"/> add and <img loading="lazy" decoding="async" src="https://caliach.com/wp-content/uploads/2022/12/17001-1.jpg" width="16" height="16" alt="Delete"/> delete records and identify which is <i>default</i> to the address. Each master record (customer, supplier, etc) has one address that is used when others are not specified. This is known as the <b><i>default</i></b> address. Similarly for each address, if there are contacts, one will be <b><i>default</i></b> to that address. Use the <img loading="lazy" decoding="async" src="https://caliach.com/wp-content/uploads/2022/12/13006-1.jpg" width="16" height="16" alt="Det To Default"/> Set To Default button to set which contact is the default.</p>
<p>When changes are made, including deletes, no changes are made permanent until the master record is saved. Note that deleting a master record will lead to all it&#8217;s addresses, contacts and links being deleted as well. Similarly, as contacts belong to specific addresses, deleting an address will lead to all it&#8217;s contacts being deleted.</p>
<p>Contacts are optional to an address, whereas each master record must have an address.</p>

<p align="left">There are <a href="../prefs/woptionslist">options</a> that control the automatic addition of contacts for new master records that typically can form departmental document links, such as Accounts Department. <b>optAdcCusAutoNew</b>, <b>optAdcDeaAutoNew</b> and <b>optAdcSupAutoNew</b> apply to new Customers, Marketing records and Suppliers. These options apply when new master records are added.</p>
<p>You use them where you want to predictably have separate contact addressing for particular documents. For example, Customer Statements should be addressed to the Accounts Department rather than the normal default contact.</p>
<p>To effect an option, set up an appropriate Contact on an existing master record and set up appropriate document links and formatting for it. This will be used as a &#8216;model contact&#8217; from which the Job and Department and all document links will be copied. This &#8216;model contact&#8217; can be for any address in the same master file. You can setup multiple contacts that all will be copied to the new master record. Once you have created your &#8216;model contact(s)&#8217;, make a note of their Id Numbers. You then add the option to the System Options and enter a comma-delimited list of the Id Numbers of your &#8216;model contact(s)&#8217;.</p>
<p>After a master record is created with these options active the following rules apply:</p>
<ul>
<li>Such auto-created contacts only apply to the default address of the master record.</li>
<li>The &#8216;model contact&#8217; description is used to determine whether such a contact has already been created for the default address, and if so it is used.</li>
<li>The uniqueness of all copied document links is checked and they are only added if not already assigned for the master record and document type.</li>
<li>Any contact added has name fields and home phone number cleared.</li>
<li>Other telephone numbers, email address and comments are copied from the default contact for the default address of the master record.</li>
<li>If there is no default contact for the default address, the telephone, fax and email from the address is used for the copied contacts and the first added contact is set to the address&#8217;s default contact.</li>
</ul>
<p>These options operate with both Add and Duplicate in master maintenance windows, during data import with Data Transfer or within maintenance. It also operates when customers or suppliers are created from marketing records.</p>

<h4>Drag-and-Drop Copy of Addresses and Contacts</h4>
<p>You can copy an Address with all associated Contacts from one master record to another, for instance from a Marketing record to a Customer record, or between two Customers. This is achieved by drag-and-drop between to Maintenance windows, both with their Addresses or Contacts tab panes selected and the appropriate master records on view.</p>
<p>First open the master Maintenance window, find the record whose address you want to copy. Now open the Maintenance window of where you want to copy the address too. If it is of the same type, Customer, Supplier, Marketing, use the View menu option to open a second Maintenance window and then find the target master record. Move the windows so that the Addresses tab pane is visible behind the copy-from window.</p>
<p>Now click on the Tab (or address list if there are more than 5 addresses) of the address you want to copy, hold down the mouse and drag it over the Addresses tab of the target master record window, then release the mouse. The copy will be performed and Save and Revert buttons on the changed master record will be available to confirm or revert the process.</p>
<p>You can do the same thing with just a single Contact by dragging a line from the Contact List onto another master maintenance window&#8217;s Contact tab.</p>
