OVERVIEW

This window enables you to select the customer to which the Quotation or SO will apply.

You can use Keyword Search or the Customer ScratchPad.

TIP: You can apply the optSOShowCusComment user option. This provides a pop-up window that will display the selected customer’s comments text. If set to 1, all customer comments are displayed. If set to START,END the program will search for a text contained within the START and END markers (which can be any alphanumeric strings. If only ,END is specified, all text up to the END marker is displayed, if only START is specified, all test from the START marker is displayed. Being a user-level option, multiple aide-memoires can be provided for different users or groups.

Unique customer identification code.

Down and Up arrows

Click to find the preceding or next value of the field alongside. By repeatedly clicking you can cycle through the file. After the files last record an audible tone will sound and the first record on file will be found.

Customer Name

Customer company name.

Stop Text

Comments on use and available credit.

Cancel button

Aborts the process currently in session. The keyboard equivalent is the Esc key for Windows computers and Command-.(full stop or period) for the Mac.

OK button

The OK button updates the data you have entered, or confirms the selection and/or processes the function you have called.

This subwindow shows period sales values for a customer.

Double-click on a field to get a sales history listing.

Field	Description
Period 1	Customers. Dispatched sales value in local currency (exclusive of tax) in period 1. {CUSFILE.CUSPER1 number 2dp}
Period 2	Customers. Dispatched sales value in local currency (exclusive of tax) in period 2. {CUSFILE.CUSPER2 number 2dp}
Period 3	Customers. Dispatched sales value in local currency (exclusive of tax) in period 3. {CUSFILE.CUSPER3 number 2dp}
Periods Total	The total sales for all three periods.

This report setup window provides you with the ability to choose a range of selections, sort order and report types.

You can drag-and-drop onto the Print Report button from the Customer ScratchPad to obtain a report of selected customers only.

NOTE: This window contains fields introduced with version 5 that enable additional search (and sometimes sort controls), such as Adhoc extra where. For more help on their use and examples see the Client-Server SQL Introduction help.

Field	Description
Customer Selection	Enter a selection in the Customer Selection subwindow.
Sort	Choose the field for the primary sort on the report.
Report Type	Select a report type. Any custom reports entered in the Settings will appear at the bottom of the list.
Addresses and Contacts	You have of choice of extracting address and contact records from either, the defaults (one per customer), all mailable contacts for the customer with their associated addresses and all contacts. TIP: Care should be taken when selecting Mailable or All because you will get duplicate entries of the master records. This may not be appropriate for the report.
Countries blank on reports	Enter up to five country codes. Where customers addresses are associated with these countries, no country will be printed on the report.

Button	Action
Cancel	Aborts the process currently in session. The keyboard equivalent is the Esc key for Windows computers and Command-.(full stop or period) for the Mac.
Print	Will cause a report to be printed of the subject matter. Right-click to change the report destination.

Operation

Enter data in the data entry boxes to restrict the range of customers. Customers must meet all criteria entered to be selected. If the left and/or right data entry boxes are left blank for a particular criteria, customers will be selected between the first and/or last otherwise qualifying customer record. Data entry boxes can be populated by finding a single item using Keyword Search, drag and drop from the Customers ScratchPad or by double-clicking a list item from the Keyword Result window.

Data records can be obtained using one of the following methods or a combination of them (see Tip below):

Enter values into the selection ranges and use the Standard Search. The context menu provides a Clear Selection function.
Define or use a Custom Search.
Create an Ad Hoc Search Calculation using the context menu function.
Drag-and-drop one or more lines from the Customer ScratchPad onto the general window area.
Use the ScratchPad Transfer Selected function
Use the KeyWord Search Transfer Selected function

TIP: Using an Ad Hoc Search Calculation (3) overrides any Custom Search (2) and a Custom Search overrides the Standard Search (1). In any of the search cases (1, 2 or 3), ScratchPad Transfer and Drag-and-Drop or KeyWord Search Transfer (4, 5 or 6) is combinational, so that records found using any of these methods must also conform to the search criteria adopted.

Data Elements

Field	Description
From/to fields	Enter data that restricts the records selected. If left blank, data will be selected from the maximum and minimum extremes in the file. All selections criteria you enter will have to be met by each record processed.
Use custom	To turn on and off the use of the custom search design. A custom search will override the standard search.
Custom search name	The name of the currently selected custom search. To use it click on the checkbox. To change it click on the Custom Search button.

Button	Action
Custom Search	Opens the Custom Search Selection window and checks the Use custom checkbox.

When you attempt to delete a customer and it is referenced by some other data record such as a Sales Order, you will be prevented from deleting it immediately and will be given the opportunity of transferring all related records to an alternate customer.

If you cancel, you will be provided with an explanatory message as to why the deletion was not possible.

WARNING: Great care should be taken of this feature. Confirming a transfer will move all related records for the customer into the selected transfer customer. Records transferred in this way will appear to have always belonged to the transfer customer. You will not be able to subsequently identify them from records previously belonging to the transfer customer. The system does however stamp a note onto the comments of the transfer customer.

If a Customer is referenced by history, and you want to prevent its use for Quotations and Sales Orders you can do this by setting the Do not use control on the customer record.

Customer master data is used directly in three functional areas of Caliach Vision: Sales Orders, Jobs and Accounts Receivable, when you have the Ledgers licensed, Additionally, you may use Customers for maintaining a marketing mailing list. Customer data can be entered and maintained by selecting any function on the Customers hierarchical menu from the main Masters Menu.

The customer menu provides functional commands for maintenance of information relating to customers . Customer data is used in Sales Order and dispatch processing and Accounts Receivable sections of the program.

Line	Function	Keys
View	To view and maintain the current customer in a new window. This function operates on the Customer Maintenance window.
Find	To find a particular customer record. Use the mouse, or tab key, to move to the field from which you want to find the record, type in a value and confirm with the OK button. The system will find the customer record with the closest match. This function operates on the Customer Maintenance window. TIP: Normally, when performing a Find operation the window is cleared of data. Some uses may prefer to change existing window data when doing a Find. This is achieved by checking the *Do not Clear Window when Performing a Find* default setting in the Settings Maintenance Subwindow window found in File — Preferences — User Settings.	Ctrl+F
Next	Will increment to the next customer, based on the index used previously in the Find command. Operates in the same way as the Up arrow on the maintenance window. This function operates on the Customer Maintenance window.	Ctrl+N
Previous	Decrements to a previous customer, based on the index used in the previous Find command. This has the same operation as the Down arrow on the maintenance window. This function operates on the Customer Maintenance window.	Ctrl+P
Update	After selecting a customer and making changes in the window, use this to confirm the changes to file. This function operates on the Customer Maintenance window.	Ctrl+U
Insert New	To add a new customer and all details associated with it. A customer must be provided with a unique identifying customer code. This function operates on the Customer Maintenance window.	Ctrl+I
Duplicate	To create a new customer with identical information to that of the currently selected customer . A new unique identifying customer code must be entered. This function operates on the Customer Maintenance window.	Ctrl+D
Delete	To delete an existing customer from the file. You will be prevented from deleting a customer that is referenced elsewhere in the system. This function operates on the Customer Maintenance window. CUSTOM CAPABILITY: If you have site-specific custom database tables that relate to customers, you can include these relationships in the cCustomDataChanges code class. Then these tables will be included with the standard ones when checking and swapping codes.
Sales History List	Builds a list of all sales history for the current or a selected customer. This function opens the Sales History List window and builds a list of all sales of the selected customer in the Customer Maintenance window. If operated without a selected customer you will be asked to select a customer in the Customer Selection dialog.
Print Details	Provides a printed report of all details for the selected customer. This function operates on the Customer Maintenance window.
Print Reports	Provides reports based on Customer information. This function opens the Customer Reports Selection window with the Customer Selection subwindow.

This subwindow provides for maintenance of Addresses and is always associated with the Address Maintenance Subwindow on a master record maintenance window.

Customers, Suppliers and Marketing addresses can have any number of contacts associated with them. The contact maintenance subwindow provides for viewing and editing a single contact record after selecting an address and then a contact from the list. If there are 5 or less addresses, select an address from the tab strip. If there are 6 or more addresses a dropdown list is provided for address selection.

To manage contact data use the three button functions or the context menu. With these you can add and delete records and identify which is default to the address. Each master record (customer, supplier, etc) has one address that is used when others are not specified. This is known as the default address. Similarly for each address, if there are contacts, one will be default to that address. Use the Set To Default button to set which contact is the default.

When changes are made, including deletes, no changes are made permanent until the master record is saved. Note that deleting a master record will lead to all it’s addresses, contacts and links being deleted as well. Similarly, as contacts belong to specific addresses, deleting an address will lead to all it’s contacts being deleted.

Contacts are optional to an address, whereas each master record must have an address.

‘Dear’	Contacts. ‘Dear’ salutation for letters. {ADCFILE.ADCDEAR char 20} The name that would be used to address the individual in a letter (e.g. Dear “Jack” or Dear “Mr. Marks”).
Description	Contacts. Contact description for internal identification. {ADCFILE.ADCDESC char 60}
Job	Contacts. Job title. {ADCFILE.ADCJOB char 40}
Department	Contacts. Department within the business. {ADCFILE.ADCDEPT char 40}
Telephone	Contacts. Telephone number (typically copied from ADRTEL). {ADCFILE.ADCTEL char 60}
Fax	Contacts. Fax number (typically copied from ADRFAX). {ADCFILE.ADCFAX char 60}
Mobile	Contacts. Mobile telephone number. {ADCFILE.ADCMOBI char 60}

Button	Action
Add	Add a new contact.
Delete	Delete the current contact.
Set To Default	Click to set the current contact as the default for the address.

Context Menu Item	Function
Add	Add Contact. Performs the same function as the Icon button.
Delete	Delete Contact. Performs the same function as the Icon button.
Set To Default	Set Contact as the Default. Performs the same function as the Icon button.
Copy Contact to Clipboard	Using the formatting rules, copies the Address and Contact to the clipboard so that you can use it in other programs.
Print Standard Letter…	Prints a Standard Letter for the selected Address and Contact. It opens the Standard Letter Selection window so you can select a letter to print.
Print Envelope…	Prints an Envelope for the selected Address and Contact.
Print 4×4 Label…	Prints a 4×4 Label for the selected Address and Contact. It opens the 4 by 4 Label Position window so you can select a label position.

TIP:

There are options that control the automatic addition of contacts for new master records that typically can form departmental document links, such as Accounts Department. optAdcCusAutoNew, optAdcDeaAutoNew and optAdcSupAutoNew apply to new Customers, Marketing records and Suppliers. These options apply when new master records are added.

You use them where you want to predictably have separate contact addressing for particular documents. For example, Customer Statements should be addressed to the Accounts Department rather than the normal default contact.

To effect an option, set up an appropriate Contact on an existing master record and set up appropriate document links and formatting for it. This will be used as a ‘model contact’ from which the Job and Department and all document links will be copied. This ‘model contact’ can be for any address in the same master file. You can setup multiple contacts that all will be copied to the new master record. Once you have created your ‘model contact(s)’, make a note of their Id Numbers. You then add the option to the System Options and enter a comma-delimited list of the Id Numbers of your ‘model contact(s)’.

After a master record is created with these options active the following rules apply:

Such auto-created contacts only apply to the default address of the master record.
The ‘model contact’ description is used to determine whether such a contact has already been created for the default address, and if so it is used.
The uniqueness of all copied document links is checked and they are only added if not already assigned for the master record and document type.
Any contact added has name fields and home phone number cleared.
Other telephone numbers, email address and comments are copied from the default contact for the default address of the master record.
If there is no default contact for the default address, the telephone, fax and email from the address is used for the copied contacts and the first added contact is set to the address’s default contact.

These options operate with both Add and Duplicate in master maintenance windows, during data import with Data Transfer or within maintenance. It also operates when customers or suppliers are created from marketing records.

Drag-and-Drop Copy of Addresses and Contacts

You can copy an Address with all associated Contacts from one master record to another, for instance from a Marketing record to a Customer record, or between two Customers. This is achieved by drag-and-drop between to Maintenance windows, both with their Addresses or Contacts tab panes selected and the appropriate master records on view.

First open the master Maintenance window, find the record whose address you want to copy. Now open the Maintenance window of where you want to copy the address too. If it is of the same type, Customer, Supplier, Marketing, use the View menu option to open a second Maintenance window and then find the target master record. Move the windows so that the Addresses tab pane is visible behind the copy-from window.

Now click on the Tab (or address list if there are more than 5 addresses) of the address you want to copy, hold down the mouse and drag it over the Addresses tab of the target master record window, then release the mouse. The copy will be performed and Save and Revert buttons on the changed master record will be available to confirm or revert the process.

You can do the same thing with just a single Contact by dragging a line from the Contact List onto another master maintenance window’s Contact tab.

This window opens from the Set or Change Document Links… function of the context menu on the Address Maintenance Subwindow.

Address Document Linking enables you to override the normal selection of the master record’s default address and default contact with a different address and contact for particular documents. For example, your main contact for sales may not be the person who is sent financial statements. When statements are sent they go to the Accounts Department, so in this case you would select the accounts department address in the master maintenance window and create a Document Link to the Customer Statement document, and maybe also the Accounts Department Address and Contact.

When a link is added the style is set to that of the default master style set in File — System Manager — Company Details.

To add a linked document, use the Add button. Then choose from the two lists below and select which elements to include and their style enhancements from the context menu over each checkbox.

The form of the resulting address will be shown in the lower right.

Linked Documents List	A list of all document links for the selected address.
Documents Available for Linking	A list of all documents that the address can be linked. Click to select.
Contacts List	A list of all contacts for the address that can be linked with the addition of a *— No Contact —* option. Click to select.
Address Elements to Include	The checkboxes are used to indicate which element of the address and contact data should or should not be included in the address style for the linked document. Right-Click on each element to control font enhancements of Bold, Italic or Underline.

Add	Add a new document link.
Delete	Delete the selected document link.
Save	To save the changes you have made to the data file.
Revert	To revert any changes to the previously saved version.
