End products and other parts may require separate Serial Number records. This is provided for in the system from the Serial Numbers Menu.

All maintenance functions are available as buttons on this maintenance window. In addition to these, you can use the navigation arrows to move from record to record and the ScratchPad to locate the first serial number record entered in the system for the selected part. You can also interactively click on the List for Part button and select a serial number from the Serial Number Listing window.

You can define a serial number hierarchy that can follow your bill of material structure. For instance, a car contains an engine that contains a fuel management controller. Each is independently serial numbered but when assembled in the car have distinct dependency within a defined hierarchy. This structure can be set up using the Set Up Serial Number Structure function in the BoM Menu. See the Serial Number Structure window for more details.

The window has 2 tab panes.

Maintenance

To select and maintain a serial number record.

Field	Description
Serial Number	Product Serial Numbers. Serial number. {SNOFILE.SNOSNO char 18} Up to 18 characters of any type including punctuation. It must be unique and can be constructed in the Sequence function. TIP: When disabled, double-click on in the field to initiate a Find.
Date used	Product Serial Numbers. Date used (either assigned in a structure, used in a WO or dispatched from a SO). {SNOFILE.SNODATE date date1980} This date is automatically entered if the serial number is assigned on a Dispatch or WO or assigned to a structure, otherwise it can be manually entered.
Last Modified	Product Serial Numbers. Last editing activity. {SNOFILE.SNOLAST date date1980}
Part Number	Product Serial Numbers. Part number. {SNOFILE.SNOPTNO char 18} It is mandatory that a pre-defined part is assigned to the serial number. It need not be flagged with a Product Serial Numbering Option in the part details. TIP: When disabled, double-click on in the field to initiate a Find.
Part Issue	Product Serial Numbers. Part issue reference. {SNOFILE.SNOISSU char 4} This field defaults to the current Issue Reference for a Part. You can change it to reflect an alternative to the current issue. It is subject to update in the Update Issue function in the Parts Menu.
Part Description	Parts Master. Part description. {PTMFILE.PTMDESC char 30}
Obsolete	Product Serial Numbers. Do not use this serial number (obsolete, scrapped or otherwise). {SNOFILE.SNOBAR boolean}
Customer Code	Product Serial Numbers. Customer code. {SNOFILE.SNOCUSC char 6} Optionally you may link a serial number record to a particular customer, which must be pre-defined in Customers. If you make an assignment to a suitable document the customer code will be applied automatically.
Customer Name	Customers. Customer company name. {CUSFILE.CUSCNAM char 40}
SO, Invoice, Job or Reference	Product Serial Numbers. Invoice number, SO number or Dispatch Note number. {SNOFILE.SNOIVNO char 6} Product Serial Numbers can be assigned to both Sales Order line items, Jobs and Invoice line items and Work Orders. If a Serial Number is assigned to a Sales Order or Job it will appear on the Sales Order or Job picking list and will be automatically assigned to the serial number list during the dispatch or issue confirmation process. If it is assigned to an Invoice the Serial Number will be printed on the Invoice. NOTE: Internally the relationships are held in a number of fields: SNOIVNO = SO, Job, Dispatch Note or Invoice number or other manually entered code. SNOCONT = Connection type (‘S’ = SO, ‘J’ = Job, ‘D’ = Dispatch Note, ‘I’ = Invoice). SNOCON = Code to line item: con({‘S’, ‘J’, ‘D’ or ‘I’},{SOLSONO, JBICODE, SAHDESP or SAHINVO},jst({SOLLINE, JBILINE, SAHLINE, SAHINVL},’-3N0P0′)). SNOWONO = Work Order number when issued or allocated to a WO. SNOPSNO = Parent serial number when allocated in a chained assembly structure.
Document Details	The document, if any, that the serial number record is assigned to. It may be either a Sales Order or an Invoice.
Work Order – Kitted to	Product Serial Numbers. Work Order number when the serial numbered part is a component issued or allocated to a WO. {SNOFILE.SNOWONO char 6}
Work Order – Made on	Product Serial Numbers. Work Order number when the serial numbered part is the assembly made on the WO. {SNOFILE.SNOWOMK char 6}
Parent Serial Number	Product Serial Numbers. Parent serial number when allocated in a chained assembly structure. {SNOFILE.SNOPSNO char 18}
End User	Shows the End User Address and Contact. Use the context menu to change if needed. This is an optional link to the customer’s address and contact data. It will be automatically set to the dispatch address of an invoice-linked record, but can be changed. The Address and Contact must belong to the assigned customer. Right-click on this field to obtain print functions for the currently selected address and contact: Print Standard Letter opens the Standard Letter Selection window and Print 4×4 Label opens the 4 by 4 Label Position window.
Comments and Specification Details	Product Serial Numbers. Notes and comments. {SNOFILE.SNOCOMM char 32000}
Service Record	Product Serial Numbers. Service notes and history. {SNOFILE.SNOSERV char 32000}

Button	Action
Find	Enables you to enter a value in an indexed field. With the cursor in the field of interest, execute an OK. The record with the closest match to the entered value will be found and displayed.
List for Part	To show an interactive list of all serial numbers for the selected part. It opens the Serial Number Listing window.
New	This will create a new (normally blank) record in the file. You will then be able to enter details for the record. Then confirm with an OK, or abandon the New record with a Cancel.
Sequence	Will allow you to create a sequence of serial numbers for a particular part in one go, optionally based on the currently selected record but with no service history. The button opens the Serial Number Sequence Setup window.
Delete	Execute this button to permanently remove the currently selected record from the file. If you are permitted to delete the item, you will be asked for confirmation, otherwise an explanation will be given.
Revert	To revert any changes to the previously saved version.
Save	To save the changes you have made to the data file.
Cancel	Aborts the process currently in session. The keyboard equivalent is the Esc key for Windows computers and Command-.(full stop or period) for the Mac.
OK	The OK button updates the data you have entered, or confirms the selection and/or processes the function you have called.

Assignments

This pane is used to assign a serial number record to a Sales Order, Job, Invoice, Work Order or a parent serial number.

A serial number record can be assigned to a Sales Order, Job, Dispatch Note or Invoice Line. They may additionally be associated with a Work Order. They can also be assigned to a parent serial number inside a serial number hierarchical structure.

Typically, these assignments are made during processing activities such as Dispatch. However, this pane enables you to manually make these assignments.

Button	Action
De-assign	Click to de-assign from the customer and document. You will need to save the record after operating this button. To de-assign work order references, edit the fields blank.

Field	Description
Show Structure	Check to view a structure list and assignments in the structure.
Structure Tree List	The defined structure for the part and any assignments applicable. Use the Delete key to de-assign serial numbers in the structure.

Assignment Listing Tab Pane

Select Document Listing to assign documents to the serial number, or Serial Number Listing to assign serial numbers to the Structure Tree.

Document Listing

This pane is used to list documents associated with the selected serial numbered part. You can drag a listed document and drop it onto the appropriate reference field to make an assignment.

Field	Description
Sales Orders	Check to include sales order items in the assignment list.
Invoices	Check to include invoice items in the assignment list.
Work Orders	Check to include work orders in the assignment list.
Jobs	Check to include estimates and jobs in the assignment list.
Include Kits	Check to include parent kits where appropriate in the assignment list.
From and To Invoice and DN	Enter a restrictive range of invoice and dispatch note numbers for the listing.
Document List	A list of available options for assignment of the serial number. To assign, drag a line to the appropriate entry.

Serial Number Listing

This pane is used to list un-assigned serial numbers for the part selected in the structure tree. You can then drag a line and drop it onto an unassigned part in the structure tree to assign it within the structure.

Field	Description
Unassigned only	This will restrict the list to only those serial numbers that are not yet assigned to a parent. Otherwise all serial number for the part are listed within the to and from range.
From and To Serial Numbers	Enter a restrictive range of serial numbers for the listing.
Serial Number List	A list of serial numbers for the selected component part in the structure tree. Drag lines from this list to make assignments on the structure tree.

You can enter a part number, use keyword search or the parts ScratchPad to choose a part number for the listing.

The Include Customer Name option is provided to improve performance where the list is likely to be very long.

Description	Parts Master. Part description. {PTMFILE.PTMDESC char 30}
Stock UoM	Parts Master. Standard stock unit of measure. {PTMFILE.PTMSTUM char 6}
Serial Number List	Lists of serial numbers for the part selected. Click to select. Double-click in column to drill down to document, WO, parent, etc..
Include Customer Name	If checked the customer name will be included in the list (takes more time).
Include Obsolete	If checked, obsolete records will be included.

This window will open automatically when you process a Goods Receipt for parts that have been set to Required on Goods Receipt in the Product Serial Numbering Options.

You can set up a list of new serial numbers and comments. When the receipt is processed serial number records will be created.

TIP: To enable barcode scanning of serial numbers, an Enter following entry of a line’s serial number will be translated into a double-tab taking the cursor to the next serial number line. After the last entry, an Enter operates the Apply button. With this control, you can use a Barcode Wedge, programmed to add a to the scanned barcode data.

Serial Number Grid	This is a list of an appropriate quantity of serial numbered parts for this goods receipt. A serial number record will not be created for rows left with no unique serial number.

This report setup window provides you with the ability to choose a range of selections, sort order and report types.

You can drag and drop onto the Print Report button from the Parts or Customers ScratchPads to obtain a report of selected parts or customers only.

NOTE: This window contains fields introduced with version 5 that enable additional search (and sometimes sort controls), such as Adhoc extra where. For more help on their use and examples see the Client-Server SQL Introduction help.

Field	Description
Document Selection	Enter a selection in the Serial Number Selection subwindow.
Sort	Choose the field for the primary sort of parts on the report.
Report Type list	Select a report type. Any custom reports entered in the Settings will appear at the bottom of the list.

Button	Action
Cancel	Aborts the process currently in session. The keyboard equivalent is the Esc key for Windows computers and Command-.(full stop or period) for the Mac.
Print Report	Will cause a report to be printed of the subject matter. Right-click to change the report destination.

This window will open when you receive returned serial numbered parts from a customer in the Returns from Dispatched Sales window.

This window lists all serial numbers assigned to the dispatch. If you are not receiving back all the dispatched quantity, select those serial numbers not returned on the list and use the delete key to remove them.

This subwindow is used to define the range criteria for a selection of serial number records. It is displayed on windows requiring their selection.

Operation

Enter data in the data entry boxes to restrict the range of parts. Records must meet all criteria entered to be selected. If the left and/or right data entry boxes are left blank for a particular criteria, parts will be selected between the first and/or last otherwise qualifying part record. Data entry boxes can be populated by finding a single item using Keyword Search, drag and drop from the Parts ScratchPad or the Customers ScratchPad, or by double-clicking a list item from the Keyword Result window.

Data records can be obtained using one of the following methods or a combination of them (see Tip below):

Enter values into the selection ranges and use the Standard Search. The context menu provides a Clear Selection function.
Define or use a Custom Search.
Create an Ad Hoc Search Calculation using the context menu function.
Drag-and-drop one or more lines from a ScratchPad (or BoM and Where-Used Listing) onto the general window area.
Use the ScratchPad Transfer Selected function
Use the KeyWord Search Transfer Selected function

TIP: Using an Ad Hoc Search Calculation (3) overrides any Custom Search (2) and a Custom Search overrides the Standard Search (1). In any of the search cases (1, 2 or 3), ScratchPad Transfer and Drag-and-Drop or KeyWord Search Transfer (4, 5 or 6) is combinational, so that records found using any of these methods must also conform to the search criteria adopted.

Field	Description
From and To	Enter data that restricts the records selected. If left blank, data will be selected from the maximum and minimum extremes in the file. All selections criteria you enter will have to be met by each record processed.
Use custom	To turn on and off the use of the custom search design. A custom search will override the standard search.
Custom search name	The name of the currently selected custom search. To use it click on the checkbox. To change it click on the Custom Search button.

Button	Action
Custom Search	Opens the Custom Search Selection window and checks the Use custom checkbox.

If this window is opened from the Product Serial Number Maintenance window, the currently selected serial number on it will be used as the default. Otherwise some fields may be populated and some may be disabled for changes. Enter the number of records to be created and change other details as required. You must then set up the serial number structure.

Up to 17 prefix characters can be entered, the numeric part of the first serial number to be created (leading zeros must be in the prefix), and finally, if required, a suffix up to 17 characters. The resulting sequence range will be displayed below your entry. The size of a serial number is 18 characters and any attempt to exceed this will cause truncation of the last entered characters of the number structure. Experiment until you are satisfied with the correct sequence. Use the Check for Unique Serial Numbers button to confirm that all numbers in the sequence are unique. When you confirm the setup with the enter key or Ok button, appropriate records will be created automatically.

Quantity in Sequence	Enter the quantity of serial number records you wish to create. If you are in a dispatch this will be the dispatch quantity and cannot be changed.

First in Sequence	Indicates the first serial number that will be created in the sequence.
Last in Sequence	Indicates the final serial number in the sequence.

Button	Action
Check for Unique Serial Numbers	To check that all the serial numbers within the sequence you have designed will be unique within the file when created.
Cancel	Aborts the process currently in session. The keyboard equivalent is the Esc key for Windows computers and Command-.(full stop or period) for the Mac.

This window will open automatically when you process a SO Dispatch or Job Issue for parts that have been set to Required on Dispatch and Job issue, or a WO Kit Issue for kit parts that have been set to Required on WO kit issue, or a WO Receipt for an assembly or kit item that has been set to Required on WO receipt in the Product Serial Numbering Options.

The list on the left will show one line for each unit of part moved. For example, if a part has been given a dispatch quantity of 4, there will be 4 lines for that part. You should complete this list by making an assignment for each line. If serial number records have already been assigned to the Sales or Work Order, these will be provided pre-assigned.

WARNING: If the appropriate System Preferences control has been set, you will have to complete assignments for all parts listed before you can proceed with the dispatch. If the System Preference is not set, you will merely be warned.

The window provides a number of methods of assigning serial numbers to parts.

Firstly, you can select a part line and enter a serial number in the list column itself. Do not use the OK or enter key, as this will complete the total assignment process.

Secondly, you can create a list of serial numbers on the right. To do this, select a part line on the left hand list, then click on either of the List Unassigned for Part or List All for Selected Part buttons. In the former case, you will be able to see any existing assignments for the serial number records. To assign serial numbers from the resulting list, drag and drop multiple lines from this list to the assignment list. You can do this one-by-one or in a group. You cannot assign a serial number already assigned in this dispatch.

You can create a sequence of new serial number records for the quantity of dispatch. To do this first select the part on the left hand list. Then click on the Create New Serial Number Series for the Selected Part button. This opens the Serial Number Sequence Setup window.

NOTE: The quantity of records produced will be equal to the number of un-assigned part lines. As a result, if you only need to create some of the serial number records required, assign those you can first before attempting to create new ones.

WARNING: If you confirm the creation of serial numbers, the resulting records will be created immediately, regardless of whether the dispatch is finally processed.

To remove an assigned serial number, select the line and pause the mouse over the serial number column. It will then go into an edit box and you can delete the entry.

You can extend the linking of Serial Number records to parts that are not directly involved in the dispatch. This is particularly useful where you want to tie the serial numbers of sub-assemblies to particular dispatches but do not want to setup a serial number structure. To do this first select the part on the left hand list. Then click on the Add More Parts to the Line Item to Assign Serial Numbers button. It opens the Part Selection window. After selection of a part you can assign a serial number as before.

When a part has a serial number structure, all unassigned parts in the tree can be assigned by drag and drop in the same way as earlier.

When Selected	Check this to build a list of unassigned serial numbers whenever that part is selected on other lists.

Create New Serial Number Series for the Selected Part	To create a new sequence of SNos for the dispatched quantity. This opens the Serial Number Sequence Setup window.
Add More Parts to the Line Item to Assign Serial Numbers	To add additional parts to the selected line item to which you can assign SNos. It opens the Part Selection window.
List Unassigned for Part	To list all currently unassigned SNos for the selected part.
List All for Selected Part	To list all currently available SNos for the selected part.
OK	The OK button updates the data you have entered, or confirms the selection and/or processes the function you have called.
Cancel	Aborts the process currently in session. The keyboard equivalent is the Esc key for Windows computers and Command-.(full stop or period) for the Mac.

Full Structure

Top Level

A list of all items that need Serial Number assignment. Drag and drop to assign or directly type serial number in the list. Use the Delete key to de-assign serial numbers in the structure.

TIP: To edit cells in the list, select the line and click in the cell and hover the mouse over the cell. I.E. click once and pause with no mouse movement. The cell will then expand into an editable box in which you can enter different data. On leaving the box with any action like a tab or click elsewhere, the data is verified and the list returns to normal with the new data shown in the cell.

Full Structure

The serial number part structure tree of the part selected in the Top Level pane, along with any serial numbers assigned.
