Maintenance area for serial numbered products. Use this area to record service history and allocate serial numbers to specific dispatches. This function opens the Product Serial Number Maintenance window.

Serial Number Tracking Maintenance

Serial Number Tracking is a feature that enables a time-based record to be maintained of activities related to Product Serial Numbers. Access to Tracking records is available under the Serial Numbers Menu.

Serial Number Tracking can be used for a variety of purposes that involve time periods in which you charge fees.

TIP: As part of your business you may rent machines or other items on a daily basis. Alternatively, you may provide service engineers that travel to the customer site for which you charge an hourly rate. Both of these cases can be handled with the Serial Number Tracking system.

All maintenance functions are available as buttons on the maintenance window. In addition to these, you can use the navigation arrows to move from record to record and the ScratchPad to locate the first serial number record entered in the system for the selected part that has Tracking records. When you select a Serial Number, the system will build a list of any existing Tracking records and display this at the bottom of the window.

Serial number tracking records can be archived and deleted in the Data File Integrity Maintenance window.

Field	Description
Serial Tracking List	A list of all tracking records for the Serial Number selected. Click to select.
Serial Number	Serial Number Tracking. Serial number tracked (inside relation to SNOSNO). {SNTFILE.SNTSNO char 18} TIP: Double click on the serial number box to open the Product Serial Number Maintenance window and load the serial number record.
Reference	Serial Number Tracking. Reference (similar to SOHCREF). {SNTFILE.SNTREF char 20}
Part Number	Product Serial Numbers. Part number. {SNOFILE.SNOPTNO char 18}
Description	Parts Master. Part description. {PTMFILE.PTMDESC char 30}
Stock Unit of Measure	Parts Master. Standard stock unit of measure. {PTMFILE.PTMSTUM char 6}
Customer Code	Serial Number Tracking. Customer code (inside relation to CUSCODE). {SNTFILE.SNTCUSC char 6}
Customer Name	Customers. Customer company name. {CUSFILE.CUSCNAM char 40}
End User	Shows the End User Address and Contact. Use the context menu to change if needed. This is an optional link to the customer’s address and contact data. It will be automatically set to the dispatch address/contact if the record was generated by a dispatch or return, but can be changed. The Address and Contact must belong to the assigned customer. Right-click on this field to obtain print functions for the currently selected address and contact: Print Standard Letter opens the Standard Letter Selection window and Print 4×4 Label opens the 4 by 4 Label Position window.
Destination	Serial Number Tracking. Destination. {SNTFILE.SNTDEST char 300}
Booked Out	Serial Number Tracking. Outgoing date and time. {SNTFILE.SNTOUT date datetime idx}
Due back	Serial Number Tracking. Due back date and time. {SNTFILE.SNTDUED date datetime idx} TIP: There is a useful Workgroup Alert Check maintained in the Workflow Alert Checks Maintenance window which lists all tracking records where the Due Back date has been passed and the Returned date unset.
Returned	Serial Number Tracking. Return date and time. {SNTFILE.SNTRET date datetime idx}
Days	The calculated number of days between the Booked Out date and the Returned date, rounded up (1 min over 24hrs = 2 days).
Hours	The calculated number of hours between the Booked Out date/time and the Returned date/time, rounded up (61 min = 2 hours).
Comments	Serial Number Tracking. Comments or remarks. {SNTFILE.SNTCOMM char 10000000}
	*Charges*
Daily rate	Serial Number Tracking. Units of charge (0=Days, 1=Hours). {SNTFILE.SNTUNIT integer shortint} The system can calculate charges on the basis of days or hours. Select your choice from the radio button options. In both cases, if the period of time includes a partial hour or day, a full unit is applied in the calculation.
Hourly rate	Serial Number Tracking. Units of charge (0=Days, 1=Hours). {SNTFILE.SNTUNIT integer shortint}
Currency	Serial Number Tracking. Currency symbol. {SNTFILE.SNTCUR char 3}
Fixed Base Charge	Serial Number Tracking. Base charge in currency. {SNTFILE.SNTBASE number 2dpShortnum} The component of charge that applies regardless of the duration recorded. The total charge is calculated as the Fixed Base + Rate x (the Hours (or Days) – the Free Units).
Rate	Serial Number Tracking. Charge in currency per unit. {SNTFILE.SNTCHAR number 2dpShortnum} The charge rate that applies to the duration recorded after deducting the Free units. You should take care to change the rate after any change to the Charged By units!
Free Units	Serial Number Tracking. Free units. {SNTFILE.SNTFREE number 2dpShortnum} This is the number of units (either Hours or Days) that are free to the customer. It is often the case that in rental arrangements there is a fixed fee for the first week followed by so much a day. For this example the Charges would be by Days, the Free Units would be 7.00 days and the Fixed Base Charge would be the week’s rental and the Rate would be the charge per day after the first week.
Changes	The calculated price based on the date/time period, the base, rate and free time.
Invoiced	Serial Number Tracking. Invoiced (Yes/No). {SNTFILE.SNTINV boolean} This is a simple indicator of whether you have invoiced the tracking record. There is no automatic invoicing system for Serial Number Tracking records, so this control has to be manually maintained.

Button	Action
Find	Enables you to enter a value in an indexed field. With the cursor in the field of interest, execute an OK. The record with the closest match to the entered value will be found and displayed.
New	This will create a new (normally blank) record in the file. You will then be able to enter details for the record. Then confirm with an OK, or abandon the New record with a Cancel.
Copy	This will create a Copy of the current record displayed on the window. You will then be able to change the details. Confirm with an OK, or abandon the new record with a Cancel.
Delete	Execute this button to permanently remove the currently selected record from the file. If you are permitted to delete the item, you will be asked for confirmation, otherwise an explanation will be given.
Revert	To revert any changes to the previously saved version.
Save	To save the changes you have made to the data file.
Cancel	Aborts the process currently in session. The keyboard equivalent is the Esc key for Windows computers and Command-.(full stop or period) for the Mac.
OK	The OK button updates the data you have entered, or confirms the selection and/or processes the function you have called.

Tracking on Dispatch and Job Issue

You can, if you wish, set parts to be tracked automatically when they are dispatched or issued to a job and also marked with the Returned date/time when a Sales Return or job return of the item is recorded. This automatic processing is controlled by settings against the Part record in the Part maintenance window. You can also set these controls in Global Changes.

For automatic tracking to be effective both of the End Product Serial Numbering controls must be checked. Numbered on dispatch and job issue simply ensures that Serial Numbers are assigned when a dispatch or job issue takes place. Tracking on dispatch or job issue causes the system to create a new Serial Number Tracking record for each Serial Number that has been dispatched. If the two controls are checked, when a Return is recorded, the last tracking record for the serial number returned will be given the current date and time in the Returned field.

There is a system option available that will additionally create tracking records when a Job is completed in the Invoice Job window. Set the option optJobSnTracking to 1 for all serial numbers assigned to the job to have tracking records created if they are for parts with the Tracking on dispatch attribute set.

WARNING: Automated Tracking uses the current terminal date and time when creating and updating records. To avoid subsequent editing of the tracking record you should ensure that the Dispatch and Return are recorded immediately they take place.

This report setup window provides you with the ability to choose a range of selections, sort order and report types.

You can drag and drop onto the window from the Customers ScratchPads to obtain a report of selected customers only.

NOTE: This window contains fields introduced with version 5 that enable additional search (and sometimes sort controls), such as Adhoc extra where. For more help on their use and examples see the Client-Server SQL Introduction help.

Field	Description
Document Selection	Enter a selection in the Serial Number Tracking Selection subwindow.
Sort	Choose the field for the primary sort of parts on the report.
Report Type list	Select a report type. Any custom reports entered in the Settings will appear at the bottom of the list.
Subtotal	To subtotal on the sort field value.

Button	Action
Cancel	Aborts the process currently in session. The keyboard equivalent is the Esc key for Windows computers and Command-.(full stop or period) for the Mac.
Print Report	Will cause a report to be printed of the subject matter. Right-click to change the report destination.

This subwindow is used to define the range criteria for a selection of serial number tracking records. It is displayed on windows requiring their selection.

Operation

Enter data in the data entry boxes to restrict the range of parts. Records must meet all criteria entered to be selected. If the left and/or right data entry boxes are left blank for a particular criteria, records will be selected between the first and/or last otherwise qualifying record. Data entry boxes can be populated by finding a single item using Keyword Search, drag and drop from the Customers ScratchPad, or by double-clicking a list item from the Keyword Result window.

Data records can be obtained using one of the following methods or a combination of them (see Tip below):

Enter values into the selection ranges and use the Standard Search. The context menu provides a Clear Selection function.
Define or use a Custom Search.
Create an Ad Hoc Search Calculation using the context menu function.
Drag-and-drop one or more lines from the Customers ScratchPad onto the general window area.
Use the ScratchPad Transfer Selected function
Use the KeyWord Search Transfer Selected function

TIP: Using an Ad Hoc Search Calculation (3) overrides any Custom Search (2) and a Custom Search overrides the Standard Search (1). In any of the search cases (1, 2 or 3), ScratchPad Transfer and Drag-and-Drop or KeyWord Search Transfer (4, 5 or 6) is combinational, so that records found using any of these methods must also conform to the search criteria adopted.

Field	Description
From and To	Enter data that restricts the records selected. If left blank, data will be selected from the maximum and minimum extremes in the file. All selections criteria you enter will have to be met by each record processed.
Un-invoiced	Only records not checked as Invoiced will be printed.
Invoiced	Only records checked as Invoiced will be printed.
Use custom	To turn on and off the use of the custom search design. A custom search will override the standard search.
Custom search name	The name of the currently selected custom search. To use it click on the checkbox. To change it click on the Custom Search button.

Button	Action
Custom Search	Opens the Custom Search Selection window and checks the Use custom checkbox.

End products and other parts may require separate Serial Number records. This is provided for in the system from the Serial Numbers Menu.

All maintenance functions are available as buttons on this maintenance window. In addition to these, you can use the navigation arrows to move from record to record and the ScratchPad to locate the first serial number record entered in the system for the selected part. You can also interactively click on the List for Part button and select a serial number from the Serial Number Listing window.

You can define a serial number hierarchy that can follow your bill of material structure. For instance, a car contains an engine that contains a fuel management controller. Each is independently serial numbered but when assembled in the car have distinct dependency within a defined hierarchy. This structure can be set up using the Set Up Serial Number Structure function in the BoM Menu. See the Serial Number Structure window for more details.

The window has 2 tab panes.

Maintenance
Assignments

Maintenance

To select and maintain a serial number record.

Field	Description
Serial Number	Product Serial Numbers. Serial number. {SNOFILE.SNOSNO char 18} Up to 18 characters of any type including punctuation. It must be unique and can be constructed in the Sequence function. TIP: When disabled, double-click on in the field to initiate a Find.
Date used	Product Serial Numbers. Date used (either assigned in a structure, used in a WO or dispatched from a SO). {SNOFILE.SNODATE date date1980} This date is automatically entered if the serial number is assigned on a Dispatch or WO or assigned to a structure, otherwise it can be manually entered.
Last Modified	Product Serial Numbers. Last editing activity. {SNOFILE.SNOLAST date date1980}
Part Number	Product Serial Numbers. Part number. {SNOFILE.SNOPTNO char 18} It is mandatory that a pre-defined part is assigned to the serial number. It need not be flagged with a Product Serial Numbering Option in the part details. TIP: When disabled, double-click on in the field to initiate a Find.
Part Issue	Product Serial Numbers. Part issue reference. {SNOFILE.SNOISSU char 4} This field defaults to the current Issue Reference for a Part. You can change it to reflect an alternative to the current issue. It is subject to update in the Update Issue function in the Parts Menu.
Part Description	Parts Master. Part description. {PTMFILE.PTMDESC char 30}
Obsolete	Product Serial Numbers. Do not use this serial number (obsolete, scrapped or otherwise). {SNOFILE.SNOBAR boolean}
Customer Code	Product Serial Numbers. Customer code. {SNOFILE.SNOCUSC char 6} Optionally you may link a serial number record to a particular customer, which must be pre-defined in Customers. If you make an assignment to a suitable document the customer code will be applied automatically.
Customer Name	Customers. Customer company name. {CUSFILE.CUSCNAM char 40}
SO, Invoice, Job or Reference	Product Serial Numbers. Invoice number, SO number or Dispatch Note number. {SNOFILE.SNOIVNO char 6} Product Serial Numbers can be assigned to both Sales Order line items, Jobs and Invoice line items and Work Orders. If a Serial Number is assigned to a Sales Order or Job it will appear on the Sales Order or Job picking list and will be automatically assigned to the serial number list during the dispatch or issue confirmation process. If it is assigned to an Invoice the Serial Number will be printed on the Invoice. NOTE: Internally the relationships are held in a number of fields: SNOIVNO = SO, Job, Dispatch Note or Invoice number or other manually entered code. SNOCONT = Connection type (‘S’ = SO, ‘J’ = Job, ‘D’ = Dispatch Note, ‘I’ = Invoice). SNOCON = Code to line item: con({‘S’, ‘J’, ‘D’ or ‘I’},{SOLSONO, JBICODE, SAHDESP or SAHINVO},jst({SOLLINE, JBILINE, SAHLINE, SAHINVL},’-3N0P0′)). SNOWONO = Work Order number when issued or allocated to a WO. SNOPSNO = Parent serial number when allocated in a chained assembly structure.
Document Details	The document, if any, that the serial number record is assigned to. It may be either a Sales Order or an Invoice.
Work Order – Kitted to	Product Serial Numbers. Work Order number when the serial numbered part is a component issued or allocated to a WO. {SNOFILE.SNOWONO char 6}
Work Order – Made on	Product Serial Numbers. Work Order number when the serial numbered part is the assembly made on the WO. {SNOFILE.SNOWOMK char 6}
Parent Serial Number	Product Serial Numbers. Parent serial number when allocated in a chained assembly structure. {SNOFILE.SNOPSNO char 18}

Button	Action

Sequence	Will allow you to create a sequence of serial numbers for a particular part in one go, optionally based on the currently selected record but with no service history. The button opens the Serial Number Sequence Setup window.

Revert	To revert any changes to the previously saved version.
Save	To save the changes you have made to the data file.

OK	The OK button updates the data you have entered, or confirms the selection and/or processes the function you have called.

Assignments

This pane is used to assign a serial number record to a Sales Order, Job, Invoice, Work Order or a parent serial number.

A serial number record can be assigned to a Sales Order, Job, Dispatch Note or Invoice Line. They may additionally be associated with a Work Order. They can also be assigned to a parent serial number inside a serial number hierarchical structure.

Typically, these assignments are made during processing activities such as Dispatch. However, this pane enables you to manually make these assignments.

Button	Action
De-assign	Click to de-assign from the customer and document. You will need to save the record after operating this button. To de-assign work order references, edit the fields blank.

Field	Description
Show Structure	Check to view a structure list and assignments in the structure.
Structure Tree List	The defined structure for the part and any assignments applicable. Use the Delete key to de-assign serial numbers in the structure.

Assignment Listing Tab Pane

Select Document Listing to assign documents to the serial number, or Serial Number Listing to assign serial numbers to the Structure Tree.

Document Listing

This pane is used to list documents associated with the selected serial numbered part. You can drag a listed document and drop it onto the appropriate reference field to make an assignment.

Field	Description
Sales Orders	Check to include sales order items in the assignment list.
Invoices	Check to include invoice items in the assignment list.
Work Orders	Check to include work orders in the assignment list.
Jobs	Check to include estimates and jobs in the assignment list.
Include Kits	Check to include parent kits where appropriate in the assignment list.
From and To Invoice and DN	Enter a restrictive range of invoice and dispatch note numbers for the listing.
Document List	A list of available options for assignment of the serial number. To assign, drag a line to the appropriate entry.

Serial Number Listing

This pane is used to list un-assigned serial numbers for the part selected in the structure tree. You can then drag a line and drop it onto an unassigned part in the structure tree to assign it within the structure.

Field	Description
Unassigned only	This will restrict the list to only those serial numbers that are not yet assigned to a parent. Otherwise all serial number for the part are listed within the to and from range.
From and To Serial Numbers	Enter a restrictive range of serial numbers for the listing.
Serial Number List	A list of serial numbers for the selected component part in the structure tree. Drag lines from this list to make assignments on the structure tree.

This window is available from the List for Part button on the Product Serial Number Maintenance window.

You can enter a part number, use keyword search or the parts ScratchPad to choose a part number for the listing.

The Include Customer Name option is provided to improve performance where the list is likely to be very long.

Field	Description
Part Number	Parts Master. Part number unique identifier. {PTMFILE.PTMPTNO char 18}
Description	Parts Master. Part description. {PTMFILE.PTMDESC char 30}
Stock UoM	Parts Master. Standard stock unit of measure. {PTMFILE.PTMSTUM char 6}
Serial Number List	Lists of serial numbers for the part selected. Click to select. Double-click in column to drill down to document, WO, parent, etc..
Include Customer Name	If checked the customer name will be included in the list (takes more time).
Include Obsolete	If checked, obsolete records will be included.

This window will open automatically when you process a Goods Receipt for parts that have been set to Required on Goods Receipt in the Product Serial Numbering Options.

You can set up a list of new serial numbers and comments. When the receipt is processed serial number records will be created.

TIP: To enable barcode scanning of serial numbers, an Enter following entry of a line’s serial number will be translated into a double-tab taking the cursor to the next serial number line. After the last entry, an Enter operates the Apply button. With this control, you can use a Barcode Wedge, programmed to add a to the scanned barcode data.

Field	Description
Serial Number Grid	This is a list of an appropriate quantity of serial numbered parts for this goods receipt. A serial number record will not be created for rows left with no unique serial number.
Part Number	Product Serial Numbers. Part number. {SNOFILE.SNOPTNO char 18}
Serial Number	Product Serial Numbers. Serial number. {SNOFILE.SNOSNO char 18}
Notes and Comment	Product Serial Numbers. Notes and comments. {SNOFILE.SNOCOMM char 32000}

Report Type list	Select a report type. Any custom reports entered in the Settings will appear at the bottom of the list.

Button	Action
Cancel	Aborts the process currently in session. The keyboard equivalent is the Esc key for Windows computers and Command-.(full stop or period) for the Mac.
Print Report	Will cause a report to be printed of the subject matter. Right-click to change the report destination.

Dispatched Serial Numbers

This window will open when you receive returned serial numbered parts from a customer in the Returns from Dispatched Sales window.

This window lists all serial numbers assigned to the dispatch. If you are not receiving back all the dispatched quantity, select those serial numbers not returned on the list and use the delete key to remove them.

Button	Action

OK	The OK button updates the data you have entered, or confirms the selection and/or processes the function you have called.
