<h2 class="wp-block-heading">OVERVIEW&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;</h2>



<p class="wp-block-paragraph">Marketing Project codes are optional codes for Marketing, Customer and Sales data. See the <a href="https://caliach.com/market/wmarketmaint#tab1">Marketing Data Maintenance</a> window help for more details of Marketing Project codes and their use.</p>



<p class="wp-block-paragraph">Parts, Customers and Suppliers can be assigned two index codes each. As the name suggests, they are codes that are used to index or classify their respective Parts, etc.. Care should be taken in deciding the functions of these codes. Reports and commands can be selectively applied to index codes. Because of their extensive availability for this purpose throughout the system, they are a very powerful tool. These index codes must first be defined in the File &#8212; System Manager &#8212; Index Codes menu function.</p>



<p class="wp-block-paragraph">Additionally, there is a set of <strong>Incoterms</strong>. Incoterms are the internationally agreed method of designating trading transactions which cross national borders. They define the limits of commercial responsibility for the selling party and so clearly define the limits of cost of the delivery of the goods. In the system customers and additional delivery addresses have default Incoterms for sales orders and jobs, and from there onto invoices. There are also default Incoterms for Delivery Details that are then applied to Purchase Orders and subsequently recorded in Purchase History.</p>



<p class="wp-block-paragraph">There are two additional codes held in the same file and maintained in the same window, but from Masters &#8212; Quality Assurance &#8212; Scrap and Test Codes menu function. <strong>Scrap Reason</strong> codes are used in Work Order history to classify reason for Work Order scrapping (see the <a href="https://caliach.com/wohistory/wwohperform">Log Work Order Operational Performance</a> window for details). <strong>Test </strong>codes are quality tests that can be added to a test regime (see the <a href="https://caliach.com/quality/wqapartmaint">Part Quality Assurance Regime Maintenance</a> window for details).</p>



<p class="wp-block-paragraph">You can select which index code is listed by clicking on one of the radio buttons.</p>



<p class="wp-block-paragraph">To edit a description, click and pause on the desired code line in the description column. You will not be able to edit the description in the list. If you wish to change the code, delete the old one and create a new one. Within the File &#8212; System Manager &#8212; Company Details maintenance window, the user may set up default index codes which will be initially applied when creating new parts, customers, or suppliers.</p>

<h3 class="wp-block-heading">Code List</h3>



<p class="wp-block-paragraph">Lists all index codes for the selected class. You can edit the description in the list. Click on the heading to sort the list.</p>



<p class="wp-block-paragraph"> TIP: To edit cells in the list, select the line and click in the cell and hover the mouse over the cell. I.E. click once and pause with no mouse movement. The cell will then expand into an editable box in which you can enter different data. On leaving the box with any action like a tab or click elsewhere, the data is verified and the list returns to normal with the new data shown in the cell.</p>



<h3 class="wp-block-heading">Code Type</h3>



<p class="wp-block-paragraph">0=Mkt. Project, 1=Cus1, 2=Cus2, 3=Part1, 4=Part2, 5=Sup1, 6=Sup2, 7=Scrap/NCR reason, 8=QA Test, 9=Incoterms.</p>



<h3 class="wp-block-heading">Language Swap icon</h3>



<p class="wp-block-paragraph">Click to open the language swap maintenance by record or file window, as applicable, to translate available text into swap language.</p>



<h3 class="wp-block-heading">New button</h3>



<p class="wp-block-paragraph">This will create a new (normally blank) record in the file. You will then be able to enter details for the record. Then confirm with an OK, or abandon the New record with a Cancel.</p>



<h3 class="wp-block-heading">Delete button</h3>



<p class="wp-block-paragraph">Execute this button to permanently remove the currently selected record from the file. If you are permitted to delete the item, you will be asked for confirmation, otherwise an explanation will be given.</p>



<h3 class="wp-block-heading">Print button</h3>



<p class="wp-block-paragraph">Will cause a report to be printed of the subject matter. Right-click to select report destination.</p>

<h2 class="wp-block-heading">BUTTONS AND FIELDS</h2>



<h3 class="wp-block-heading">Stock unit of measure</h3>



<p class="wp-block-paragraph">This is your default unit of measure.  This appears for new parts on the Parts Master maintenance window and can be up to six characters in length. </p>



<h3 class="wp-block-heading">Delivery code for purchases</h3>



<p class="wp-block-paragraph">Enter your main delivery point code that you set up in previous steps. <a href="https://kb.caliach.com/index.php/knowledge-base/delivery-details-maintenance/">Click here for delivery details guide</a>.</p>



<h3 class="wp-block-heading">Country code</h3>



<p class="wp-block-paragraph">This code must be pre-defined in the country maintenance window and will by default will be applied to new customers and supplier entries.  <a href="https://kb.caliach.com/index.php/knowledge-base/countries-maintenance/">Click here for Country Maintenance guide</a>. </p>



<h3 class="wp-block-heading">Country name</h3>



<p class="wp-block-paragraph">The country name will auto fill once you have entered the country code. </p>



<h3 class="wp-block-heading">Countries… button</h3>



<p class="wp-block-paragraph">Select to review or modify the countries.  This will open the <a href="https://caliach.com/knowledge-base/wconedit/">Country Maintenance</a> window. </p>



<h3 class="wp-block-heading">Quotation validity days</h3>



<p class="wp-block-paragraph">This is the days your quotations are valid for.  The system default is set to 30 days but you can change this as appropriate. </p>



<h3 class="wp-block-heading">Payment days</h3>



<p class="wp-block-paragraph">This is the default payment days for invoices.  The system default is set to 30 days but you can change this as appropriate.</p>



<h3 class="wp-block-heading">Customer days</h3>



<p class="wp-block-paragraph">You can choose to apply customer payment by days or months by selecting the appropriate button. </p>



<h3 class="wp-block-heading">Quick-payment days</h3>



<p class="wp-block-paragraph">You can choose to apply a discount if your customer pays within the payment days set for invoices.</p>



<h3 class="wp-block-heading">Customer days from</h3>



<p class="wp-block-paragraph">You have the option of choosing the point from which the default payment is calculated from the invoice date.  The system default is from today, but you can choose Month-end or Period-end by selecting the button next to the wording.  </p>



<p class="wp-block-ht-blocks-messages wp-block-hb-message wp-block-hb-message--withicon is-style-info">Period-end is the same as Month-end if you do not have the Ledgers licence option.</p>



<h3 class="wp-block-heading">Payment terms</h3>



<p class="wp-block-paragraph">The system default is set to ‘Payment Net 30 days’.  This text can be changed up to 1000 characters and will be entered in each new Quotation or Sales Order. </p>



<h3 class="wp-block-heading">Index Code fields</h3>



<p class="wp-block-paragraph">These are the default index codes assigned to new Parts, Customers and Suppliers that have been previously set up.  These fields must be completed.  <a href="https://kb.caliach.com/index.php/knowledge-base/index-codes/">Click here for Index Code guide</a>. </p>

<h2 class="wp-block-heading">Initial Set up of Index Codes</h2>



<h3 class="wp-block-heading">File &gt; System Manager &gt; Index Codes </h3>



<p class="wp-block-paragraph">This file path takes you to the Index Code Maintenance box (headed as Marketing Project Code Maintenance as this is the type automatically selected).</p>

<h3 class="wp-block-heading">Select New</h3>



<p class="wp-block-paragraph">Select customer index 1 and click the new button.  This will bring up New Index Code window and will prompt you to enter a code eg. ’NEW’. </p>



<p class="wp-block-paragraph">We recommend you enter ‘NEW’ for each initial index type. </p>



<h3 class="wp-block-heading">Enter a description for each code</h3>



<p class="wp-block-paragraph">Click then hover your mouse over the description line next to the appropriate code and enter a description of the new code eg. NEW &#8211; New Customer Index Code 1/ New Customer Index Code 2/ New Parts Index Code 1 etc. Enter as many subcategories for each index code as required. </p>

<p class="wp-block-paragraph">Marketing Project codes are optional codes for Marketing, Customer and Sales data and are set up in the same way as the index codes. </p>



<h3 class="wp-block-heading">Incoterms</h3>



<p class="wp-block-paragraph">Default Incoterms are set up in your database.  You can add as many as you want in the same way as the Index codes. </p>



<h2 class="wp-block-heading">BUTTONS AND FIELDS</h2>



<h3 class="wp-block-heading">Code List Field</h3>



<p class="wp-block-paragraph">Here you will find all index codes for the selected class.  You can edit the description by clicking on the required line and hovering the mouse.  This list can be sorted A-Z or Z-A by clicking on the heading. </p>



<h3 class="wp-block-heading">Code Type field</h3>



<p class="wp-block-paragraph">You can select which index code you would like to see or amend by clicking the circle next to it. </p>



<h3 class="wp-block-heading">New</h3>



<p class="wp-block-paragraph">This creates a new blank record in the file.  You will then be able to enter the details for the record and confirm with the ok button or abandon with the cancel button. </p>



<h3 class="wp-block-heading">Print Button</h3>



<p class="wp-block-paragraph">This will print a report of all your index and incoterm codes.  Right click to select report destination. </p>
