The Engineering data file serves two functions: Firstly, it provides additional record space for engineering information about a part. Secondly, it provides a database for engineering documents that may, or may not, be associated with a part. Both unique and/or standard engineering text can be applied to a part number, a Document number or both.

Engineering data is a library of documents that may reference parts, special texts and/or graphic images. This menu provides commands for maintenance of this library of information.

You can have any number of document entries for the same part number and may also have any number of entries with the same document number with different part numbers. In fact there is no restrictions in the combinations you can have. Prudence suggests, however, that some logical document numbering system is adopted.
Graphics can be associated with an engineering document. Although there is no storage limit to a graphic record, the graphics system is specifically limited to small illustrative graphics.

Engineering documents, including graphics, can be referenced for inclusion in Purchase, Sales and Work Orders.

This window provides for maintenance of engineering records. These records provide database of documents that relate to parts. Any text can be entered for whatever purpose and a graphic can be attached.

The window works in consort with the Engineering Data Menu.

NOTE: The listing on the maintenance window has one of two modes. It shows either all parts for a document or all documents for a particular part. The mode is determined by your action that caused the list data to be collected. If you find, next or previous on a part, the list will show documents for the located part. If you find, next or previous on document, the list will show parts for the located document. If you already have a list, selecting a part/document line and then using a document/part next or previous button will change the mode of the list. For example, if you had a list up of all documents for part 12345, selecting document ABC and clicking on the next document button (up arrow beside the document code field) will create a list of all parts for document ABC.

Use of Engineering data records on Purchase, Sales, Jobs and Work Orders

You can use the engineering data records to add additional detailed information for a particular Part to line items in Purchase Orders, Sales Orders, Jobs and the header of Work Orders. This is a special feature that is instigated for each Part by adding a special text string to the beginning of the Part’s Individual Purchase, Sales and/or Work Texts.

The string must be in the form EDX-NNN…..N! and is case-sensitive. ED stands for Engineering Data and is mandatory, X can be T for Engineering Texts only, G for Engineering Graphic only or A for All engineering data. The – is mandatory. NNN…..N is the Document Number for the engineering data record you wish to have added to the Order.

NOTE: The Document Number record must be for the relevant Part and if there are more than one with this document/part combination the chronologically first created record will be used.)

The trailing ! is mandatory. Note that the Individual Text for the part will still print as normal on the Order, but less the special code string above, if an appropriate Engineering data record is found for it.

WARNING: When changing or deleting Document or Part numbers from Engineering Data records, no check is made of part individual text references. Hence, you must manually ensure that you do not loose links that are valuable to you.

Engineering Data Selection

Reference Contents > Engineering Data > Engineering Data Selection

This subwindow is used to define the range criteria for a selection of engineering data. It is displayed on windows requiring the selection of engineering data records.

Parent Windows

Engineering Data Reports
Link System Maintenance
Graphical Analysis Maintenance – Graphs Tab

Operation

Enter data in the data entry boxes to restrict the range of records. Records must meet all criteria entered to be selected. If the left and/or right data entry boxes are left blank for a particular criteria, records will be selected between the first and/or last otherwise qualifying record. Data entry boxes can be populated by finding a single item using Keyword Search, drag and drop from the Parts ScratchPad or by double-clicking a list item from the Keyword Result window.

Data records can be obtained using one of the following methods or a combination of them (see Tip below):

Enter values into the selection ranges and use the Standard Search. The context menu provides a Clear Selection function.

Define or use a Custom Search.

Create an Ad Hoc Search Calculation using the context menu function.

Drag-and-drop one or more lines from the Parts ScratchPad (or BoM and Where-Used Listing) onto the general window area.

Use the ScratchPad Transfer Selected function

Use the KeyWord Search Transfer Selected function

TIP: Using an Ad Hoc Search Calculation (3) overrides any Custom Search (2) and a Custom Search overrides the Standard Search (1). In any of the search cases (1, 2 or 3), ScratchPad Transfer and Drag-and-Drop or KeyWord Search Transfer (4, 5 or 6) is combinational, so that records found using any of these methods must also conform to the search criteria adopted.

NOTE: This window contains fields introduced with version 5 that enable additional search (and sometimes sort controls), such as Adhoc extra where.
