This window provides options when you operate the Convert to Sales Order, BoM and Route function on the Jobs Menu.

You will be asked to confirm the Estimate or Job you wish to convert in the Select Job window before these options are presented. The Select Part window will open for you to select a Like part for the new part that will be created in place of the Job or Estimate.

Enter the new part number, a description and a stock unit of measure. Then select the options you want.

When you complete with an OK:

The Like part will be copied and given the new part number, description and UoM

If the option is checked, a Bill of Materials will be created consisting of all part numbered lines in the Estimate or Job in the stock quantities ordered.

If the option is checked, a Process Route will be created of all operations. The runtime for each will be the runtime multiplied by the quantity ordered.

The new assembly will be costed and the standard costs set to the calculated current cost.

If the option is checked, a new Quotation or Sales Order will be created with a single line item of the newly created assembly.

If the option is checked, the Estimate or Job will be deleted from the system.

Job Maintenance

Reference Contents > Jobs and Estimating > Job Maintenance

Introduction

Jobs and Estimating can be viewed as an alternative to the more conventional Quotation, Sales Order, Work Order, Dispatch process cycle. Estimates and unconfirmed Jobs. Jobs are like Sales Orders but can include operations and therefore combine parts, work operations and non-part items in one document. They integrate fully into all scheduling processes elsewhere in the program. Estimates and Jobs are specific to customers and are processed in the following order: A Estimate is prepared and printed and can later be confirmed as a Job. Alternatively, a Job is entered directly. A Job Acknowledgement can be printed.

A Job can contain any number of both part-numbered and non-part-numbered items and work operations linked to a work centre. The status of stock and Job Items can be reviewed in different ways. A combined Picking and Make-To List, or separate Picking List and Make-To List can be printed. The complete or part issue is confirmed and the operation processing can be recorded in Job Operation Working.

Finally the Job can be invoiced in two alternative ways; by line item or as general invoices. The Invoices are then printed and customer payments logged. This cycle is provided to give control of all stages of the process: Estimate, Job, Issues, Operation completion, Invoicing and Payment.

The system uses the following files of data:

You can apply the optSOShowCusComment user option. This provides a pop-up window that will display the selected customer’s comments text when new documents are created. If set to 1, all customer comments are displayed. If set to START,END the program will search for a text contained within the START and END markers (which can be any alphanumeric strings. If only ,END is specified, all text up to the END marker is displayed, if only START is specified, all test from the START marker is displayed.
This subwindow is used to define the range criteria for a selection of jobs. It is displayed on windows requiring the selection of jobs and estimates.

NOTE: This window contains fields introduced with version 5 that enable additional search (and sometimes sort controls), such as Adhoc extra where.
Operation

Enter data in the data entry boxes to restrict the range of parts. Jobs must meet all criteria entered to be selected. If the left and/or right data entry boxes are left blank for a particular criteria, items will be selected between the first and/or last otherwise qualifying item record. Data entry boxes can be populated by finding a single item using Keyword Search, drag and drop from the Customers ScratchPad or by double-clicking a list item from the Keyword Result window.

Data records can be obtained using one of the following methods or a combination of them (see Tip below):

Enter values into the selection ranges and use the Standard Search. The context menu provides a Clear Selection function.

Define or use a Custom Search.

Create an Ad Hoc Search Calculation using the context menu function.

Drag-and-drop one or more lines from the Customer ScratchPad onto the general window area.

Use the ScratchPad Transfer Selected function

Use the KeyWord Search Transfer Selected function

TIP: Using an Ad Hoc Search Calculation (3) overrides any Custom Search (2) and a Custom Search overrides the Standard Search (1). In any of the search cases (1, 2 or 3), ScratchPad Transfer and Drag-and-Drop or KeyWord Search Transfer (4, 5 or 6) is combinational, so that records found using any of these methods must also conform to the search criteria adopted.
