Parts: Bill of Materials and Where-Used Listings

OVERVIEW

This window shows a single level Bill-of-Materials (BoM) and Where-Used listing for the currently selected part. The window is opened by selecting Masters — Parts — BoM Listing from the main menu bar or Parts ScratchPad Options — Show BoM for Selected from the Parts ScratchPad.

File Path

Masters > Parts > BoM Listings…

This file path takes you to the Bill of Materials and Where-Used Listings window.

Auto Rebuild

Causes the list to be re-built automatically on single-click selection of a part in the list.

Operation

The window shows all parts in the immediate single level BoM for the currently selected part in the top half of the list, and all parts containing the currently selected part in their immediate single level BoM in the bottom half of the list.

To make a part the currently selected part in the Parts ScratchPad (and the Part Maintenance window if open), click on the part in the list.

To re-build the list for a part, double-click on the part in the list.

If the Auto Rebuild option for the window is selected, single-clicking on a part in the list will automatically re-build the list for the selected part, with no need to double-click. In this way it is possible to “walk” up and down the BoM structure.

Part Processing Analysis enables you to see where part process quantities are deriving from in terms of orders. It is available from the Process — Inventory History — Review Part Processing Analysis menu function.

When you build the list the totals for the process quantities are re-calculated from the list data and shown below the quantities stored on the part record. They should be the same.

There are a number of possible reasons for part process quantities not being in step with the analysis calculated values. Most common are system and network crashes interrupting transaction processing. You can correct the situation using the Advanced tab pane of the Stock Control Activities window. Or by running the Re-set Part Process Quantities option of the File — Advanced — Re-Set Data Files…” function (see the Datafile Integrity Maintenance window for details).

Field	Description
Part number	Parts Master. Part number unique identifier. {PTMFILE.PTMPTNO char 18}
Description	Parts Master. Part description. {PTMFILE.PTMDESC char 30}
Stock UoM	Parts Master. Standard stock unit of measure. {PTMFILE.PTMSTUM char 6}
Current Quantities	For details see the Parts Current Quantity subwindow.
Calculated Allocated to WOs	Calculated allocated quantity from the listing. Reset Part Process Qtys if not equal to above.
Calculated Due to SO/Jobs	Calculated Due to SOs quantity from the listing. Reset Part Process Qtys if not equal to above.
Calculated Due from P/WOs	Calculated Due from P/WOs quantity from the listing. Reset Part Process Qtys if not equal to above.
Calculated Projected Stock	The projected inventory quantity calculated from the listing.
Calculated Kitted in WIP	Calculated Kitted to WOs quantity from the listing. Reset Part Process Qtys if not equal to above.

Part Processing Analysis enables you to see where part process quantities are deriving from in terms of orders. This window acts as both a drill-down window for part process quantities (see the Parts Current Quantity window for details) or as a subwindow in the Part Processing Analysis window.

Field	Description
Analysis List	List of projected movements of the type requested. Click on a line to show details below. Double-click to view document.
Detail Text	Details of the selected document listed above (subject to user options). The following options can determine which field on the appropriate document header or line item is shown when the Analysis Line is selected: optSOProcessListField, optJobProcessListField, optPOProcessListField, optWOProcessListField. See Program Options Listing window for details of each.
Include Quotations	Check to include quotation items as though they are to be dispatched in the same way as confirmed sales order items. This setting will remain for future analysis.
Include RFQs	Check to include request for quotation PO items as though they were to be confirmed PO items. This setting will remain for future analysis.
Include Estimates	Check to include estimate Job items as though they were to be confirmed Job items. This setting will remain for future analysis.
Include Quarantined	Check to include quarantined stock as though it is immediately available for use. This setting will remain for future analysis.
Include Bonded	Check to include sales order bonded items as though it is immediately available for use. This setting will remain for future analysis.

Button	Action
Print List	Prints a report of the listing. Right-click to select report destination.

This context menu operates on the Country Commodity Codes window.

Line	Function	Keys
Add a Country Group	To add a country group for which parts can have a special commodity code.
Apply Current to ScratchPad Selected	To apply the values currently shown to all parts selected in the Parts ScratchPad. This provides for a mass-change capability for parts that all have the same commodity codes. Setup one part’s commodity code set and then select all the parts that have to have the same set of commodity codes in the Parts ScratchPad, then finally operate this context menu line.

This window provides you with the ability to choose a range of selections of part records. This window is currently used only when setting a parts filter during BoM Trial Kit Report (see BoM Trial Kit Parts Setup window for details).

NOTE: This window contains fields introduced with version 5 that enable additional search (and sometimes sort controls), such as Adhoc extra where. For more help on their use and examples see the Client-Server SQL Introduction help.

Field	Description
Document Selection	Enter a selection in the Parts Selection subwindow.
Use custom	To turn on and off the use of the custom search design.

Button	Action
Custom Search	Opens the Custom Search Selection window and selects the Use Custom option.
Cancel	Aborts the process currently in session. The keyboard equivalent is the Esc key for Windows computers and Command-.(full stop or period) for the Mac.
OK	The OK button updates the data you have entered, or confirms the selection and/or processes the function you have called.

Provides commands for maintenance of parts master records. The Parts Master is the name given to the file that contains all the information that is unique to a specific Part in the system.

Line	Function	Keys
View	To view and maintain the current part in a new window. This function operates with the Part Maintenance window.
Find	To locate a specific part. Use the mouse or key board to enter some value in a field and confirm with an OK. The system will locate the closest match to the entered data and display the part record details. This function operates with the Part Maintenance window. TIP: Normally, when performing a Find operation the window is cleared of data. Some uses may prefer to change existing window data when doing a Find. This is achieved by checking the *Do not Clear Window when Performing a Find* default setting in the Settings Maintenance Subwindow window found in File — Preferences — User Settings.	Ctrl+F
Next	The system will find the next part using the index of the value previously entered during the Find command. If it cannot find a part it will find the first based on the same criteria. In this way you can cycle through the part records. This function operates with the Part Maintenance window.	Ctrl+N
Previous	Finds the previous part based on the index used by a previous Find. If you are on the first record, the system will find the last. In this way you can cycle through the parts in descending order. This function operates with the Part Maintenance window.	Ctrl+P
Update	With a part displayed, you can edit its details and use this command to save the changes to file. This function operates with the Part Maintenance window.	Ctrl+U
Insert New	To create a new part, providing it with a unique identifying part number. This function operates with the Part Maintenance window. CUSTOM CAPABILITY: oCustom1.$NewPartRecordInit(), oCustom1.$NewPartRecord() and oCustom1.$NewPartRecordSave() provide hooks for you to build custom methods to change or verify the way Part Numbers and other values are set by users. For instance, a method could be written to prevent the user creating a part record without entering data in particular fields. CUSTOM CAPABILITY: oCustom1.$PartNoAfter() provides a hook that could be used to provide part number format verification. After data entry, the procedure would check for a valid format and report deviations and prevent further progress until rectified.	Ctrl+I
Duplicate	To copy all details of the currently selected part to a new part record. It must be provided with its own unique identifying part number. This function operates with the Part Maintenance window. When duplicating a part which has a BoM Structure, Process Route, Quality Assurance Regime and/or Serial Number Structure, you will be asked if these too are to be duplicated for the new part. You must have appropriate privileges for each data set and the Serial Number structure will not be offered if the BoM is not duplicated. CUSTOM CAPABILITY: See above for custom hooks available.	Ctrl+D
Update Issue	To update the Engineering Issue on all references to the currently selected part. Changes will be made to BoM components, Job items, Serial Numbered items, PO line items and WOs. This function operates with the Part Maintenance window. It additionally opens the Update Part Issue and References window.
Delete	To delete a part. You will be prevented from deleting parts that are referenced elsewhere in the system. Use the special stock changes function in the manager menu to delete parts and their history. This function operates with the Part Maintenance window. CUSTOM CAPABILITY: If you have site-specific custom database tables that relate to parts, you can include these relationships in the cCustomDataChanges code class. Then these tables will be included in the tests as to whether a part can be deleted.
BoM Listing	To provide a simple assembly listing and single level ‘where used’ listing for the currently selected and displayed part. This function opens the Bill of Materials and Where-Used Listings window which works interactively with the parts Scratchpad.
Print Details	To print the selected part details in full. This function operates with the Part Maintenance window.
Print Reports	Provides for a range of reports containing information in the parts master. This function opens the Parts Report Selection window which uses the Part Selection subwindow.

This subwindow is used to define the range criteria for a selection of parts. It is displayed on windows requiring the selection of parts.

Operation

Enter data in the data entry boxes to restrict the range of parts. Parts must meet all criteria entered to be selected. If the left and/or right data entry boxes are left blank for a particular criteria, parts will be selected between the first and/or last otherwise qualifying part record. Data entry boxes can be populated by finding a single item using Keyword Search, drag and drop from theSuppliers ScratchPad, Parts ScratchPad or Accounts ScratchPad or by double-clicking a list item from the Keyword Result window.

Data records can be obtained using one of the following methods or a combination of them (see Tip below):

Enter values into the selection ranges and use the Standard Search. The context menu provides a Clear Selection function.
Define or use a Custom Search.
Create an Ad Hoc Search Calculation using the context menu function.
Drag-and-drop one or more lines from the Parts, Suppliers and Accounts ScratchPad (or BoM and Where-Used Listing) onto the general window area.
Use the ScratchPad Transfer Selected function
Use the KeyWord Search Transfer Selected function

TIP: Using an Ad Hoc Search Calculation (3) overrides any Custom Search (2) and a Custom Search overrides the Standard Search (1). In any of the search cases (1, 2 or 3), ScratchPad Transfer and Drag-and-Drop or KeyWord Search Transfer (4, 5 or 6) is combinational, so that records found using any of these methods must also conform to the search criteria adopted.

NOTE: The G/L Account ScratchPad operates, by default, on the Sales account code. If you want it to apply to the Purchase account code, click with the mouse in the Purchase account code field first, then switch to the ScratchPad.

Field	Description
From and To	Enter data that restricts the records selected. If left blank, data will be selected from the maximum and minimum extremes in the file. All selections criteria you enter will have to be met by each record processed.
Use custom	To turn on and off the use of the custom search design. A custom search will override the standard search.
Custom search name	The name of the currently selected custom search. To use it click on the checkbox. To change it click on the Custom Search button.

Button	Action
Custom Search	Opens the Custom Search Selection window and checks the Use custom checkbox.

This window opens and offers options for the Costs vs. selling prices report when printed from the Parts Report Selection window (it is triggered on the printing of rPtmCurSell specifically).

Field	Description
Discount Rate	The discount that will be applied to sales prices before the profit margin is calculated on the report. Enter a value so that the resultant profit margin shown will reflect actual practice.
Current costs	Select this option to have the report comparison based on Current Costs (rather than Standard).
Standard costs	Select this option to have the report comparison based on Standard Costs (rather than Current).
