Customer Parts Reports

This window prints reports from the customer-parts records. Enter a range restriction if required, select a sort, select the report type you want and confirm with a Print Report.

NOTE: This window contains fields introduced with version 5 that enable additional search (and sometimes sort controls), such as Adhoc extra where. For more help on their use and examples see the Client-Server SQL Introduction help.

You can drag and drop onto the Print Report button from the Customers or Parts Scratchpad to obtain a report of selected customers or parts only.

Field	Description
Customer Part Selection	Enter a selection in the Customer Part Selection subwindow.
Report Type	Select a report type. Any custom reports entered in the Settings will appear at the bottom of the list.

Button	Action
Load Results into Parts ScratchPad	Instead of producing a report, the selection is used to populate the ScratchPad with all parts encountered.
Load Results into Customer ScratchPad	Instead of producing a report, the selection is used to populate the ScratchPad with all customers encountered.
Cancel	Aborts the process currently in session. The keyboard equivalent is the Esc key for Windows computers and Command-.(full stop or period) for the Mac.
Print	Will cause a report to be printed of the subject matter. Right-click to change the report destination.

This subwindow is used to define the range criteria for a selection of customer parts. It is displayed on windows requiring the selection of customer parts.

Operation

Enter data in the data entry boxes to restrict the range of records. Records must meet all criteria entered to be selected. If the left and/or right data entry boxes are left blank for a particular criteria, records will be selected between the first and/or last otherwise qualifying record. Data entry boxes can be populated by finding a single item using Keyword Search, drag and drop from the Customers ScratchPad, Parts ScratchPad or by double-clicking a list item from the Keyword Result window.

Data records can be obtained using one of the following methods or a combination of them (see Tip below):

Enter values into the selection ranges and use the Standard Search. The context menu provides a Clear Selection function.
Define or use a Custom Search.
Create an Ad Hoc Search Calculation using the context menu function.
Drag-and-drop one or more lines from a ScratchPad (or BoM and Where-Used Listing) onto the general window area.
Use the ScratchPad Transfer Selected function
Use the KeyWord Search Transfer Selected function

TIP: Using an Ad Hoc Search Calculation (3) overrides any Custom Search (2) and a Custom Search overrides the Standard Search (1). In any of the search cases (1, 2 or 3), ScratchPad Transfer and Drag-and-Drop or KeyWord Search Transfer (4, 5 or 6) is combinational, so that records found using any of these methods must also conform to the search criteria adopted.

Data Elements

Field	Description
From/to fields	Enter data that restricts the records selected. If left blank, data will be selected from the maximum and minimum extremes in the file. All selections criteria you enter will have to be met by each record processed.
Use custom	To turn on and off the use of the custom search design. A custom search will override the standard search.
Custom search name	The name of the currently selected custom search. To use it click on the checkbox. To change it click on the Custom Search button.

Button	Action
Custom Search	Opens the Custom Search Selection window and checks the Use custom checkbox.

The Customer parts facility provides links between Parts and Customers. Any number of unique Part-Customer relationships can exist. i.e. A part can have any number of customer’s details listed.

When a Sales Order or Job is being created for a customer the sales details from the Part-Customer relationship are provided as default information for the order. Text can be edited at the time but the user can not change prices. The system supports a date and quantity limit for the sales pricing contained in the Customer-parts record.

Provides commands for maintenance of customer part records. These records provide specific customer information about parts that override normal Sales Order or Job details.

Line	Function	Keys
Find	To list a group of customer records associated with a part by entering data into any one of the indexed fields. Having entered data, confirm with an OK. This function operates on the Customer Parts Maintenance window. TIP: Normally, when performing a Find operation the window is cleared of data. Some uses may prefer to change existing window data when doing a Find. This is achieved by checking the *Do not Clear Window when Performing a Find* default setting in the Settings Maintenance Subwindow window found in File — Preferences — User Settings.	Ctrl+F
Next	To find the next document to that currently selected, building a list of all documents so found based on the index of the previous Find command carried out. This function operates on the Customer Parts Maintenance window.	Ctrl+N
Previous	To find the previous record to that currently selected, building a list of all records so found based on the index of the previous Find command carried out. This function operates on the Customer Parts Maintenance window.	Ctrl+P
Update	To save changes made to the listed customer part records. This function operates on the Customer Parts Maintenance window.	Ctrl+U
Add a Customer or Part	To add an additional customer for the part or part for the customer. This function operates on the Customer Parts Maintenance window.	Ctrl+I
Delete	To delete a customer-part record. Select the record you wish to delete in the list before operating this command. This function operates on the Customer Parts Maintenance window.
List Sales History	To produce a list of the sales history for the currently selected customer or part. This function operates on the Customer Parts Maintenance window and opens the Sales History List window and builds a list of all sales of the selected part or selected customer depending on the context of the list on the maintenance window.
Mass Change	To make a mass-change of values to listed items by order number. This function operates on the Customer Parts Maintenance window and opens the Mass Changes to Listed Customer Parts window.
Changes Log	To review the changes log of customer part records. This function operates on the Customer Parts Maintenance window and opens the Customer Parts Changes Log window.
Print Listing	To produce a report for the current list of customer-part records. A report selection dialogue will be presented. This function operates on the Customer Parts Maintenance window and opens the Report Selection window.
Print Reports	Provides reports based on Customer-Parts information. This function opens the Customer Parts Reports window with the Customer Part Selection subwindow.

Mass Changes to Listed Customer Parts

This window enables you to change parameters for all customer-part records listed.

Any changes only apply to records listed in the maintenance window.

You can restrict changes to only apply to records which have a particular Order, or alternative apply the change to all customer-parts listed in the maintenance window (enables you to apply a change to all customers for a part, or all parts for a particular customer). Select the appropriate radio button.

You can change any of the date fields by selecting the appropriate check boxes and entering a new date or a number of calendar days to change existing dates by. If a date is entered, it will be used, otherwise the number of days change will be used. Expiry and Order dates change without restriction. Authority, Effectivity and Quotation dates where the quantity discount/price fields have non-zero values.

The Order and Line values are only changed to your new text if the Order date checkbox is set and you enter text for either. The Authority will likewise only be changed to new text if the Authority date is checked.

You can mass change discounts/prices. You must set the appropriate checkboxes for the quantity discount/prices you want to change. Those records which are set for prices, rather than discounts, will be changed only if you set either a plus or minus amount or a plus or minus % change, the former taking precedence. Those records set for discounts will only change if you enter a plus or minus discount change percent. In addition, changes will only be made where there are already non-zero discount/price and quantity. Zero is the minimum a discount/price will be changed to under all circumstances.

Customer Parts Maintenance

This window provides for maintenance of customer part records. These records provide specific customer information about parts that override normal Sales Order or Job details.

The window works in consort with the Customer Parts Menu.

NOTE: The listing on the maintenance window has one of two modes. It shows either all parts for a customer or all customers for a particular part. The mode is determined by your action that caused the list data to be collected. If you find, next or previous on a part, the list will show customers for the located part. If you find, next or previous on customer code or customer part number, the list will show parts for the located customer. If you already have a list, selecting a part/customer line and then using a customer/part next or previous button will change the mode of the list. For example, if you had a list up of all customers for part 12345, selecting customer ABC and clicking on the next customer button (up arrow beside the customer code field) will create a list of all parts for customer ABC.

Field	Description
List	List of parts for a customer or customers for a part.
Our part number	Customer Parts. Part number (inside relation to PTMPTNO). {CPTFILE.CPTPTNO char 18} The part must be pre-defined in the parts master. A partial code can be entered, whereupon the nearest match code record is located by the system. You can use the ScratchPad to locate a part.
Description	Parts Master. Part description. {PTMFILE.PTMDESC char 30}
Stock unit of measure	Parts Master. Standard stock unit of measure. {PTMFILE.PTMSTUM char 6}
Part type	Parts Master. Part type (A,B,M,N,O,P). {PTMFILE.PTMTYPE char 1}
Customer code	Customer Parts. Customer part number (inside relation to CUSCODE). {CPTFILE.CPTCUSC char 6} You can only create a Customer Part record for a particular Customer, that must be pre-defined in the master file. Once you have created this record you cannot change the customer it is associated with. You can use the Customer ScratchPad to locate a customer.
Customer name	Customers. Customer company name. {CUSFILE.CUSCNAM char 40}

Button	Action
Show Extra Part Text	This button will bring forward a window in which the part’s extra sales texts can be viewed and amended. Both individual and standard sales texts are shown. These texts are inserted in the Sales Order or Job following the item line for the part.
Revert	Re-reads the record from file.
Save Changes	Saves all changes to file.
Cancel	Aborts the process currently in session. The keyboard equivalent is the Esc key for Windows computers and Command-.(full stop or period) for the Mac.
OK	The OK button updates the data you have entered, or confirms the selection and/or processes the function you have called.

Promotional based on dates rather than quantities	Customer Parts. Promotional prices or additional discounts based on dates rather than quantities. {CPTFILE.CPTPDAT boolean} Promotional pricing or additional discounts are applied when a sales order or job item is entered for dispatch or issue within a date range. The dates are inclusive. If there is no start date then the end date is a limit for the price or additional discount. If there is no end date, the price or additional discount applies from the start date thereafter. If there are no dates for the price or additional discount it will never apply. If two or more date ranges overlap, the lowest price or greatest additional discount will be applied. If no promotional dates are relevant the first sales price or additional discount applies. WARNING: Customer parts data always overrides any part master settings, so any part master promotional values are irrelevant to customers where there exists a customer part record.

You can maintain a log of changes to your Customer-Parts data. To have this active you must set the Customer Parts – record changes log preference in the System Preferences window.

The changes log records the new values of any field amended. It does not record the old value. For a full log therefore, you need to set the changes log feature on before any customer parts are added otherwise the full history of a record will not be maintained.

NOTE: Importing customer-parts data using the Data Transfer Utility or any other importing means will not create log entries. This also applies to any custom features unless specifically designed. Log entries are only made during activities taking place from the Customer-Parts menu. However, you can use the System Preference to set all Customer Part records without log entries to have an initial log entry. To do this, turn off the Record changes log system preference and then turn it back on. You will then be offered the initialisation option.
