Print Invoice or Credit Note	To print an individual Invoice, Credit Note. You will be presented with a dialogue box in which you can select the document you wish to print. You will be asked to select the Invoice or Credit Note in the Invoice or Credit Note Selection window.
Print Item Reports	To obtain reports of currently undelivered Job or Estimate items. This function opens the Job Item Reports window which contains the Job Item Selection subwindow.
Print Booking Reports	To obtain reports of bookings to Jobs. This function opens the Job Booking Reports window which contains the Job Booking Selection subwindow.

This report setup window provides you with the ability to choose a range of selections, sort order and report types.

You can drag and drop onto the Print Report button from the Parts Scratchpad to obtain a report of selected parts only.

NOTE: This window contains fields introduced with version 5 that enable additional search (and sometimes sort controls), such as Adhoc extra where. For more help on their use and examples see the Client-Server SQL Introduction help.

Field	Description
Job Item Selection	Enter a selection in the Job Booking Selection subwindow.
Sort option	Choose the field for the primary sort of items on the report.
Report Types	Select a report type. Any custom reports entered in the Settings will appear at the bottom of the list.

Button	Action
Cancel	Aborts the process currently in session. The keyboard equivalent is the Esc key for Windows computers and Command-.(full stop or period) for the Mac.
Print Report	Will cause a report to be printed of the subject matter. Right-click to change the report destination.

This subwindow is used to define the range criteria for a selection of job booking records. It is displayed on windows requiring the selection of items.

Operation

Enter data in the data entry boxes to restrict the range of records. Job Bookings must meet all criteria entered to be selected. If the left and/or right data entry boxes are left blank for a particular criteria, items will be selected between the first and/or last otherwise qualifying item record. Data entry boxes can be populated by finding a single item using Keyword Search, drag and drop from the Parts ScratchPad or by double-clicking a list item from the Keyword Result window.

Data records can be obtained using one of the following methods or a combination of them (see Tip below):

Enter values into the selection ranges and use the Standard Search. The context menu provides a Clear Selection function.
Define or use a Custom Search.
Create an Ad Hoc Search Calculation using the context menu function.
Drag-and-drop one or more lines from the Parts ScratchPad (or BoM and Where-Used Listing) onto the general window area.
Use the ScratchPad Transfer Selected function
Use the KeyWord Search Transfer Selected function

TIP: Using an Ad Hoc Search Calculation (3) overrides any Custom Search (2) and a Custom Search overrides the Standard Search (1). In any of the search cases (1, 2 or 3), ScratchPad Transfer and Drag-and-Drop or KeyWord Search Transfer (4, 5 or 6) is combinational, so that records found using any of these methods must also conform to the search criteria adopted.

Field	Description
From and To	Enter data that restricts the records selected. If left blank, data will be selected from the maximum and minimum extremes in the file. All selections criteria you enter will have to be met by each record processed.
Use custom	To turn on and off the use of the custom search design. A custom search will override the standard search.
Custom search name	The name of the currently selected custom search. To use it click on the checkbox. To change it click on the Custom Search button.

This window is used for both the Process — Job Processing — Invoice a Job function and the Process — Job Processing — Credit on a Job function, with appropriate modifications to its appearance.

There are two methods of invoicing jobs:

Type	Description
Line Items Method	This method effectively allows you to invoice on a line by line basis in much the same way as a Sales Order transfers its line items to an Invoice on dispatch. This is useful where you want to itemise the invoice in detail and populate the sales history with parts. This method can be used if the General Invoicing (not line items) checkbox IS NOT checked in the Job Maintenance window.
General Method	This method ignores line items and allows you to invoice with general invoice lines in much the same way as an Invoice created in the Ledgers — Accounts Receivable — New Invoice (Not Dispatch) function. This method can be used if the General Invoicing (not line items) checkbox IS checked in the Job Maintenance window. When the Job is set for General Invoicing there is no Line Invoicing tab pane available to you in this window.

Line Items Method

General Method

This method ignores line items and allows you to invoice with general invoice lines in much the same way as an Invoice created in the Ledgers — Accounts Receivable — New Invoice (Not Dispatch) function. This method can be used if the General Invoicing (not line items) checkbox IS checked in the Job Maintenance window. When the Job is set for General Invoicing there is no Line Invoicing tab pane available to you in this window.

To create an Invoice for a Job, use the Line Invoicing tab pane, if available, in which you can apply lines to the invoice that you will process in the General Invoicing tab pane. You can always add extra non-specific line items in the General Invoicing tab pane.

Line Invoicing

Details of line item invoicing or crediting. This pane is not available if the General Invoicing (not line items) checkbox IS checked in the Job Maintenance window.

Available Line Item List	List of available job lines. You can individually edit the applied quantity. Double-click to put a part into the ScratchPad. TIP: To edit cells in the list, select the line and click in the cell and hover the mouse over the cell. I.E. click once and pause with no mouse movement. The cell will then expand into an editable box in which you can enter different data. On leaving the box with any action like a tab or click elsewhere, the data is verified and the list returns to normal with the new data shown in the cell.
Total value	The total value of balance quantity items (without tax) for the order in the currency shown.

Commission agents	Sales History. Tax regime and class	Sales History. Tax regime code applied. {SAHFILE.SAHTAMC char 6} and Sales History. Sales tax class. {SAHFILE.SAHTAXC char 1}. Sales tax regime appropriate for the customer and the class appropriate to the goods being sold. Select from the dropdown lists. (See the Tax Maintenance window for details of the tax system.) By default the customer’s tax regime is applied or that of the dispatch additional address (if one is applied). The tax class applied by default is that of the part or the default sales non-part class set in the company details.
Tax Rate	The current net tax rate for the entered tax regime and class.
Value without tax	The value of the selected item in the Invoice, exclusive of tax.
Tax amount	Sales History. Tax applied on dispatch quantity. {SAHFILE.SAHTAX number 2dp}
Value with tax	The value of the selected item in the Invoice, inclusive of tax.
Complete Job	Check to complete the Job or uncheck to re-open it.
Print Invoice	To print a Invoice or Credit Note after it has been saved.

Button	Action
Stage Payment	To add a stage payment for the job to the invoice. This will open the Job Stage Payments window in which you can enter a number of amounts proportional to the sales value of the job.
Add Line Item	To add a non-part (or non-stock part) line entry to the document.
Create Invoice	After preparing the document lines above, click to save and process the document.

The window permits the production of a zero value general invoice. This may be useful when wishing to document some stage in a job or when the job is undertaken free of cost to the customer. To do this you must have at least one line item.

Invoice History

Select to review previous invoice history and other financial details of the job.

% Issued Cost	Percent of forecast cost that has been issued.
Margin on Forecast	The net amount of net sales value above forecast cost.

Tax regime and class	Jobs. Tax regime applied to general invoicing, {JOBFILE.JOBTAMC char 6}, and Tax class applicable when general invoicing, {JOBFILE.JOBTAXC char 1}.
Tax rate	Jobs. Tax % applied to general invoicing. {JOBFILE.JOBTAX number 2dpShortnum}
Tax amount	The amount of tax payable on the net sale value at the rate.
Sales Price with Tax	The net sale price plus tax without any quick payment discount.
Sales Price with Tax with Quick-pay Discount	The net sale price plus tax and any quick payment discount.

This window opens when you click on the Stage Payments button on the General Invoicing tab pane of the Job Invoicing and Crediting window.

You can enter any number of lines that will be applied to the invoice.

Field	Description
Job Code	Jobs. Job code number = jst(MCDJOBS,’-6N0P0′). {JOBFILE.JOBCODE char 6 Idx}
Sales Value	Jobs. Total net sales value after discounts (without tax) in currency. {JOBFILE.JOBSALE number 2dp}
Invoiced Value	Jobs. Total invoiced value (without tax) in currency. {JOBFILE.JOBINVV number 2dp}. This includes any lines to be invoiced in this session.
Percentage Invoiced	The percentage of the sales value invoiced.
Grid	Make the entries in the grid. To add an entry to the end, tab out of the last line. To remove a line, blank the account code.
Percent	Enter a percentage proportion of the total sales value for a new invoice line.
Value	Enter a value for a new invoice line.

Button	Action
Add Line Items	To add line items for the job to the invoice.

This window is used for both the Process — Job Processing — Issue Inventory To Job function and the Process — Job Processing — Return Inventory From Job function, with appropriate modifications to its appearance.

The Job Issue process is called after items have been physically picked from the stockroom and committed to the Job. The marked-up Picking List can be used as reference for the confirmation of issue. The Job is selected in the Select Job window. This window then contains a list of all outstanding part and non-part items for the job regardless of due date.

TIP: You can control whether the Net Available Credit value is displayed on the window using the option optNoShowCredit. You may wish to do this for security reasons as showing the value will enable dispatch staff to calculate the sales price of goods.

TIP: You can view what parts are available to issue from the Process — Work Orders — Review WOs Available-to-Kit function. It lists all kit items for all outstanding unkitted Work Orders and Jobs and shows the availability of kit parts. This function opens the Work Orders Available-to-Kit Analysis window.

Processing of issues to customers is done by entering the quantity against each line item that has been issued or shipped. Having prepared the list of issues, processing of all the transactions are carried in one operation.

When entering an issue, you can enter a non-standard Stock History Comment. In the case of Non-stock type parts and non-part items, this option does not apply.

If the customer is marked as Stop if over limit you will not be able to issue items that cause the Net Credit Available to go negative.

Part items may have special icons in the list to warn you of special circumstances that will call for pre-processing additional data.

When satisfied that the list accurately reflects the issue, click on the Confirm Issue as Listed button. A check is then carried out for appropriate serial number and/or multi-location assignments and customer credit authority before any issues are processed. If, the Stop if over limit flag is set for the customer and, as a consequence of the issue, the customers credit limit is to be exceeded, the processing will be prevented and you will be warned. To effect an issue under these conditions, either the credit limit must be increased or sufficient invoice payments must be made. If the Stop all dispatches flag is set, no issues can be made until the flag is reset in the customer maintenance window.

Kit shortages: When you do not fully issue a Job Item that is a SO Exploded Kit (i.e. where the part is of type P) any quantities of components not issued are recorded in the Shortages file. When parts are received into stock this list is checked, and the user notified. The logging of shortages is automatic. The Job is not completed until all shortages have been issued to it.

When you operate the Confirm Issue as Listed button, depending on options and the status of issued parts, you may be presented with the Serial Number Assignment and Location and Batch Assignment windows. See these topics for details.

TIP: You can force the automatic creation of a Non-Conformance Report (NCR) even when a return is not quarantined using the system option optNCRAutoMovements. Set this option to contain the uppercase character B.

Total weight	Shows the net shipping weight calculated from the part mass values. It takes no account of non-part items.

Button	Action
Select Job	To select a Job from which you wish to make issues or return. The Select Job window will open.
View Job Details	To view the Job Header details that may contain comments relevant to the issue. The Job or Estimate Details window will open.
Show Stock Locations	Click to show stock locations with extended information. It will open the Stock Location Listing window. This button is only available if you have checked the Maintain multi-stock locations extended information in the File — System Manager System Preferences window.
View Works Texts	Click to view details of the Works Text for a selected part.
Issue All Items	Click to set all Issue quantities to the full order balance. This button is only visible when the window is used for an Issue.
Return All Items	Click to fully return all items listed. This button is only visible when the window is used for an Return.
Confirm Issue as Listed	Post issues when satisfied that all the quantities shown on the list are correct. This button is only visible when the window is used for an Issue. If there are any inventory consequences to the process, these will be reported on the Stock Processing Message Log window that will open.
Confirm Return as Listed	Post any returns when satisfied that all the quantities shown on the list are correct. This button is only visible when the window is used for an Return.

This window allows you to review the progress of a job numerically.

Field	Description
Job number	Jobs. Job code number = jst(MCDJOBS,’-6N0P0′). {JOBFILE.JOBCODE char 6}
Customer code	Customers. Unique customer identification code. {CUSFILE.CUSCODE char 6}
Customer name	Customers. Customer company name. {CUSFILE.CUSCNAM char 40}
Line Item List	A list of all line items on the document.
Line Item Status List	A linked list of all line items on the document showing the status.
Planned costs	Total of all planned costs.
Actual costs	Total of all actual costs.
Variance	Extra cost over planned. Negative is less than planned cost.
Variance %	Percent variance is of planned cost.
